Job Overview:
The Archiving and Documentation Specialist plays a crucial role in maintaining a structured version control system for SayPro’s monthly poster designs. This role ensures that all marketing and branding materials are accurately archived, tracked, and aligned with the SayPro brand identity.
You will be responsible for documenting design iterations, tracking modifications, and maintaining a historical record of all marketing assets. Your work will support marketing campaigns, creative decision-making, and consistency across all SayPro Monthly promotional materials.
Key Responsibilities:
1. Version Control & Archiving
- Maintain a systematic versioning process for SayPro Monthly posters.
- Track modifications and updates to poster designs, ensuring a clear log of changes.
- Organize files by campaign, date, designer, and approval status.
- Ensure that older versions are accessible for reference while avoiding duplication.
- Implement naming conventions and file organization structures for efficient retrieval.
2. Documentation & Record-Keeping
- Create and update design logs detailing changes in color, typography, images, and layout.
- Maintain revision history for different marketing initiatives.
- Document feedback, approvals, and requested edits from stakeholders.
- Compile before-and-after snapshots of posters for internal records.
3. Branding & Consistency
- Ensure that all archived poster versions comply with SayPro branding guidelines.
- Coordinate with the branding team to document updates to logos, fonts, and brand colors.
- Verify that all posters meet the SayPro Marketing Royalty (SCMR) standards before final archiving.
4. Collaboration with Designers & Marketing Team
- Work closely with graphic designers to document the reasoning behind design changes.
- Assist the marketing team in retrieving archived versions for reference.
- Provide design history insights for future campaigns.
5. Quality Control & Compliance
- Review final posters for accuracy and adherence to branding guidelines before submission.
- Ensure that no outdated or unapproved versions are used in campaigns.
- Secure confidential or exclusive design files with appropriate access controls.
6. Digital Asset Management
- Utilize cloud-based or internal Digital Asset Management (DAM) systems for storage.
- Implement metadata tagging for easy searchability of archived designs.
- Conduct regular file audits to maintain a clutter-free archive.
Qualifications & Skills:
Essential:
✔ Experience in version control, documentation, or digital asset management
✔ Strong organizational skills with attention to detail
✔ Knowledge of branding and marketing materials
✔ Familiarity with graphic design files (PSD, AI, PDF, PNG, etc.)
✔ Proficiency in file organization systems & cloud storage tools
✔ Ability to work with designers, marketers, and branding specialists
Preferred:
