1. Purpose of AI and GPT Usage

AI tools such as GPT (Generative Pre-trained Transformers) may be used by the SayProRoyal-4 Committee to:

  • Assist with ethics policy writing and compliance documentation.
  • Generate reports, summaries, and case briefs from complex legal and governance materials.
  • Support risk assessments, case investigations, and benchmarking analysis.
  • Improve committee communication and stakeholder engagement (e.g., drafting notices or memos).

2. Ethical and Responsible Use

All Committee members and support staff must follow the principles below when using AI:

  • Confidentiality: Do not input sensitive or personally identifiable information (PII) into AI systems.
  • Accuracy: Always fact-check AI outputs and verify all generated content against credible, official sources.
  • Transparency: Clearly state when content has been generated or co-created with AI tools.
  • Bias Awareness: Monitor and avoid any form of bias or discriminatory output generated by AI systems.
  • Accountability: Human oversight is mandatory. AI suggestions must not replace human decision-making.

3. Acceptable Use Cases

Approved uses of GPT and AI tools include:

  • Drafting standard ethics policies, codes of conduct, and committee charters.

5. AI Tools Authorized

Only approved AI platforms (e.g., OpenAI’s ChatGPT, SayPro-approved compliance tools) may be used. Free or unsecured tools are prohibited without prior written authorization.


6. Training and Awareness

All members must undergo periodic training on:

  • Responsible AI usage
  • Data privacy and security
  • Bias mitigation
  • AI prompt engineering for ethical governance

7. Logging and Monitoring

All usage of AI tools for official committee work must be logged with:

  • Purpose of use
  • Date and time
  • Output summary
  • Responsible member

These logs will be reviewed quarterly for compliance and audit purposes.


8. AI Escalation Protocol

If AI generates:

  • Harmful or discriminatory content
  • Inaccurate legal guidance
  • Inappropriate language
