Job Purpose:

The SayPro Brand Material Office will oversee the execution of SayPro Monthly Printing activities, ensuring all print projects are executed efficiently, cost-effectively, and meet SayPro’s high standards of quality and professionalism. This role will manage all aspects of the print production process, from initial project coordination to final delivery, ensuring that print materials support marketing and sales initiatives, enhance brand presence, and contribute to the overall goals of the SayPro Marketing Royalty SCMR for the month of January.


Key Responsibilities & Tasks:


1. Project Management:

  • a. Coordination with Teams:
    • Collaborate with the SayPro Marketing, Design, and Sales teams to understand the volume, type, and specifications required for each print project. This includes marketing campaigns, product launches, sales events, and internal needs.
    • Maintain clear communication with cross-functional teams to ensure everyone is aligned on deadlines, print material requirements, and design specifications.
  • b. Print Project Scheduling:
    • Develop and manage timelines for each print project, ensuring all deadlines are met.
    • Ensure that print projects are prioritized effectively to meet marketing campaigns, sales events, and other scheduled initiatives.
    • Account for unexpected delays, revisions, or adjustments, providing solutions to keep projects on track.
  • c. Material Selection and Customization:
    • Identify and coordinate with design and marketing teams to select the appropriate material specifications (paper types, finishes, and sizes) based on the intended use of the materials (e.g., brochures, flyers, posters, business cards).
    • Ensure custom features (embossing, foil stamping, etc.) are incorporated into designs as needed to align with the brand’s high-quality standards.
  • d. Budget Management:
    • Prepare and manage the budget for each print run, ensuring that costs remain within the allocated budget while maintaining high-quality standards.
    • Research and negotiate with printing vendors to secure the best rates without compromising on quality.
    • Track expenses for each print job, ensuring that they align with the overall budget and report on any variances.

2. Print Production Oversight:

  • a. Vendor Coordination:
    • Identify and select appropriate printing vendors or in-house print teams based on the scope and quality requirements of each project.
    • Maintain a close relationship with print vendors to ensure that SayPro’s printing standards are upheld.
    • Ensure the vendors follow all project specifications, including print quality, paper selection, color accuracy, and finishing techniques.
  • b. Quality Control:
    • Ensure that the final printed materials meet the agreed-upon standards and specifications.
    • Oversee the proofing process before final print runs, ensuring that all corrections, adjustments, and feedback from design or marketing teams are addressed.
    • Conduct quality checks during production, ensuring that all materials are printed with consistency, accuracy, and precision, and are free of defects (e.g., color discrepancies, poor resolution, misalignment).
  • c. Print Run Management:
    • Manage the execution of print runs, ensuring materials are printed on time, within budget, and according to specifications.
    • Coordinate any last-minute changes or adjustments to the print job, handling revisions promptly to meet project requirements.

3. Distribution Coordination:

  • a. Distribution Planning:
    • Work with the logistics and marketing teams to plan the distribution of printed materials to various departments, partners, and events.
    • Create a distribution schedule to ensure that all stakeholders receive the materials on time and in the correct quantities.
  • b. Internal and External Coordination:
    • Ensure that printed materials are delivered to the correct internal teams (sales, HR, marketing) and external partners (distributors, clients) as per the agreed-upon distribution plan.
    • Handle any special delivery requirements for events or promotional activities.
  • c. Tracking and Reporting:
    • Track the distribution process to ensure materials reach their intended destinations.
    • Report on the distribution progress and handle any issues related to missed deliveries or damaged materials.

4. Brand Integrity and Compliance:

  • a. Adherence to Brand Guidelines:
    • Ensure that all printed materials are in compliance with SayPro’s brand standards and guidelines, including logo placement, color schemes, typography, and tone of voice.
    • Work with the design team to ensure consistency in branding across all printed materials.
  • b. Review and Approvals:
    • Ensure all print materials are reviewed and approved by the relevant stakeholders (e.g., marketing, legal, senior management) before production begins.
    • Maintain approval workflows for all projects to ensure that materials are signed off and aligned with the overall brand strategy.

5. Performance Reporting and Feedback:

  • a. Post-Production Review:
    • Conduct a post-production review to assess the quality of the printed materials and identify any areas for improvement.
    • Collect feedback from internal teams (sales, marketing, HR) and external partners on the effectiveness and quality of the printed materials.
  • b. Continuous Improvement:
    • Identify opportunities to improve the print process, whether in terms of quality, cost-effectiveness, or time management.
    • Work with the design, marketing, and vendor teams to continuously enhance the quality and efficiency of the printing and distribution process.

Skills and Qualifications:

  • Experience:
    • Minimum of 3-5 years of experience in print production management, preferably in a corporate or marketing setting.
    • Experience managing cross-functional projects, coordinating between design, marketing, and vendor teams.
  • Skills:
    • Strong project management and organizational skills with the ability to manage multiple projects simultaneously.
    • Proficient in managing budgets and negotiating with vendors.
    • Exceptional attention to detail, particularly with respect to print quality and brand consistency.
    • Strong communication skills to coordinate effectively with internal teams and external vendors.
  • Technical Expertise:
    • Knowledge of printing techniques and materials, including digital printing, offset printing, and specialty finishes.
    • Familiarity with print production software and design tools (e.g., Adobe Creative Suite).
    • Understanding of file preparation for print, including color management, resolution, and file formats.

SayPro Marketing Manager, SayPro Brand Material Office

Working Relationships:

  • Internal: SayPro Marketing, Design, Sales, HR, and Logistics teams.
  • External: Print vendors, couriers, and event organizers.

Key Performance Indicators (KPIs):

  • Successful completion of all print projects within specified timelines.
  • Adherence to budget for print materials.
  • High satisfaction rates from internal stakeholders regarding print quality and material effectiveness.
  • Efficient and accurate distribution of materials, with minimal delays or errors.

This role is essential for ensuring the seamless execution of SayPro Monthly Printing activities. The Brand Material Office will play a crucial role in maintaining SayPro’s high-quality standards, ensuring print materials effectively support the brand’s marketing objectives, and enhancing its professional image.
