Job Title: Giveaway Coordinator
Department: SayPro Brand Material Office
Reports To: Director of Brand Material
Location: SayPro Offices in Neftalopolis (or Remote)

Key Responsibilities:

Vendor Management

  • Establish and maintain strong, professional relationships with external vendors responsible for the production of branded giveaways.
  • Collaborate with vendors to ensure that giveaways meet SayPro’s quality standards and align with brand values.
  • Evaluate and select vendors based on quality, cost, and reliability for timely production of giveaways.
  • Regularly assess vendor performance and provide feedback to maintain high-quality standards.
  • Negotiate contracts and ensure compliance with agreed-upon terms, including timelines, costs, and quality expectations.

Giveaway Selection and Coordination

  • Assist in the selection and design of branded giveaways that will best attract and engage visitors, customers, and partners.
  • Work with the SayPro Brand Material Office and SayPro Marketing Royalty teams to choose items that reflect the company’s values and enhance the brand’s image.
  • Ensure that giveaways are relevant to the target audience, practical, and appealing, while promoting SayPro’s unique selling propositions.
  • Coordinate the production schedule of giveaways, ensuring all materials are produced and delivered on time for events, trade shows, or other promotional activities.

Campaign and Event Support

  • Coordinate and manage the distribution of giveaways at various marketing events, conferences, and exhibitions.
  • Collaborate with the SayPro Marketing team to integrate giveaways into broader promotional strategies and campaigns.
  • Maintain inventory and track giveaways to ensure an adequate supply for ongoing events and future needs.
  • Organize the logistics and packaging of giveaways to ensure they arrive at events in good condition and on schedule.

Brand Representation

  • Ensure that all giveaways are designed to promote SayPro’s brand identity in a professional and engaging manner.
  • Regularly review and update the branded items to maintain freshness and relevance to the market.
  • Act as the primary point of contact for the marketing team regarding any queries or concerns related to branded giveaways.

Budget and Reporting

  • Manage the budget allocated for giveaway production, ensuring expenditures align with financial constraints and the strategic goals of the department.
  • Prepare regular reports on giveaway performance, including tracking costs, effectiveness, and audience engagement metrics.
  • Provide feedback and insights on the impact of giveaways in driving brand awareness and customer engagement.

Collaboration and Strategy

  • Work closely with the Director of Brand Material and other team members to ensure that all giveaways align with SayPro’s overall marketing and brand strategies.
  • Contribute to brainstorming sessions, offering insights and ideas for innovative and engaging giveaway concepts.
  • Stay informed about industry trends, competitor giveaways, and emerging promotional strategies to ensure SayPro remains competitive in the marketplace.

Other Duties as Assigned

  • Perform additional tasks or duties as directed by the Director of Brand Material or other members of the SayPro management team.

Qualifications and Skills:

  • Bachelor’s degree in Marketing, Business, or related field (or equivalent experience).
  • At least 2 years of experience in marketing, event coordination, or vendor management, preferably in a promotional or branding context.
  • Strong organizational and project management skills, with the ability to manage multiple tasks and deadlines simultaneously.
  • Excellent communication skills, both written and verbal, to work effectively with vendors, internal teams, and external partners.
  • Strong attention to detail and a proactive approach to problem-solving.
  • Creative thinking with a keen sense for branding and design.
  • Proficiency in Microsoft Office Suite and familiarity with project management tools (e.g., Trello, Asana, or similar platforms).
  • Experience with budget management and cost control.

Preferred Qualifications:

  • Experience in working with branded merchandise or promotional items.
  • Knowledge of marketing automation tools and analytics platforms.
  • Previous experience in a remote work environment is a plus.
