Position Title: Email Signature Implementation Coordinator
Department: SayPro Brand Material Office
Key Focus: SayPro Monthly Email Signatures Implementation

Role Overview:

The Email Signature Implementation Coordinator is responsible for managing and overseeing the implementation, usage, and feedback of SayPro’s branded email signatures across the organization. This role ensures that all email signatures comply with the SayPro brand guidelines and are used consistently across the company’s communications. The position works closely with the SayPro Marketing Royalty team to coordinate the creation, distribution, and maintenance of email signature templates.

Key Responsibilities:

  1. Acting as Primary Point of Contact for Email Signature Issues:
    • Serve as the first line of support for any issues or feedback regarding the usage and formatting of SayPro email signatures.
    • Address and resolve user queries related to email signature installation, compliance with brand guidelines, and troubleshooting technical issues.
    • Ensure that employees have access to clear instructions on how to properly implement and update their email signatures.
  2. Collaborating with SayPro Marketing Royalty Team:
    • Work closely with the SayPro Marketing Royalty team to ensure that all email signature templates reflect the current branding guidelines.
    • Ensure that all email signatures are designed in line with the SayPro brand identity, ensuring consistency in font, color, logo placement, and messaging.
    • Actively contribute to the creation of new email signature templates when new marketing materials or campaigns are launched.
  3. Creation and Distribution of Email Signature Templates:
    • Develop and maintain branded email signature templates for various employee roles and departments, ensuring that each template includes necessary contact information, disclaimers, and consistent visual elements.
    • Coordinate the distribution of email signature templates to employees, providing easy-to-follow instructions for installation on various email platforms (e.g., Outlook, Gmail).
    • Regularly update email signature templates in line with any changes in branding, contact information, or corporate messaging.
  4. Monitoring and Reporting on Email Signature Usage:
    • Conduct periodic audits of email signatures across the company to ensure compliance with the SayPro brand guidelines.
    • Gather and analyze feedback from employees regarding the functionality and effectiveness of the email signature templates.
    • Provide monthly reports on email signature compliance, including the number of issues reported, changes made, and any improvements to the templates.
  5. SayPro Monthly SCMR-13 Reporting:
    • Contribute to the SayPro Monthly SCMR-13 (SayPro Monthly Communication and Marketing Report) by providing detailed updates on the status of email signature implementations and any relevant activities.
    • Assist with compiling the report’s data, including feedback from employees, troubleshooting logs, and improvements made to email signature templates over the course of the month.
  6. Training and Support:
    • Provide training materials or sessions for employees who need assistance in implementing the email signature templates or understanding the brand guidelines.
    • Ensure that new employees are properly onboarded with the email signature implementation process and understand the importance of consistent branding in email communications.
  7. Feedback Loop for Continuous Improvement:
    • Establish a feedback loop with employees to ensure that email signature templates continue to meet the needs of the organization.
    • Act on feedback from users to enhance the functionality and aesthetics of email signature templates, ensuring they are adaptable for future marketing campaigns and branding updates.
  8. Brand Integrity and Compliance:
    • Uphold the integrity of SayPro’s brand by ensuring that all email signatures remain compliant with the latest branding standards, including any updates to logos, fonts, color schemes, and messaging.
    • Work with the SayPro Brand Material Office to ensure any changes to the brand guidelines are accurately reflected in the email signatures.

Required Skills & Competencies:

  • Brand Management: In-depth understanding of branding principles and the ability to implement them consistently across various communication platforms.
  • Attention to Detail: Strong attention to detail to ensure email signatures adhere to brand guidelines and are free from errors.
  • Technical Proficiency: Knowledge of email platforms (e.g., Outlook, Gmail) and the ability to troubleshoot common email signature implementation issues.
  • Project Management: Ability to manage multiple tasks related to email signature implementation and maintenance while meeting deadlines.
  • Communication Skills: Strong written and verbal communication skills to liaise with employees, the marketing team, and other stakeholders.
  • Problem-Solving: Ability to address technical issues or challenges related to email signature implementation.

This role is critical in maintaining a consistent and professional brand image across all employee communications via email. The Email Signature Implementation Coordinator will ensure that SayPro’s email signatures reflect the organization’s values and visual identity, while also providing robust support and training to employees.
