Objective:

Ensure the email signature templates created under SayPro Brand Material Office meet quality standards and function properly across multiple platforms and email clients. Guarantee brand consistency and seamless rendering on all devices.


Tasks to Be Done:

1. Cross-Platform Compatibility Testing

  • Objective: Confirm that the email signatures render properly on all major email clients.
  • Tasks:
    • Test email signatures on desktop email clients:
      • Microsoft Outlook (2016, 2019, 365)
      • Apple Mail (macOS)
      • Mozilla Thunderbird
    • Test email signatures on webmail platforms:
      • Gmail
      • Outlook Web
      • Yahoo Mail
      • AOL Mail
    • Test email signatures on mobile platforms:
      • Gmail app (iOS, Android)
      • Outlook app (iOS, Android)
      • Apple Mail (iPhone, iPad)

2. Device Responsiveness Testing

  • Objective: Ensure the signature displays correctly across various screen sizes and resolutions.
  • Tasks:
    • Check rendering on:
      • Desktop monitors (1080p, 1440p)
      • Tablets (iPad, Android)
      • Smartphones (small and large screen formats)
    • Confirm that layout does not break or misalign on smaller screens.
    • Confirm clickable links (phone, email, website, social media) function correctly on touch devices.

3. Brand Consistency Verification

  • Objective: Ensure all elements adhere to SayPro’s brand guidelines.
  • Tasks:
    • Match font styles and sizes to brand standards.
    • Confirm use of official brand colors (RGB/HEX match).
    • Ensure logo placement and image quality are consistent.
    • Verify that all social media icons are official, current, and consistent in style.
    • Review formatting of staff details (name, title, contact info).

4. Functionality Testing

  • Objective: Validate all interactive elements within the signature.
  • Tasks:
    • Check all hyperlinks (website, email address, social media icons) for correct redirection.
    • Test ‘click to call’ on phone numbers in mobile environments.
    • Confirm that embedded images are displayed correctly (hosted images should not be blocked).
    • Verify load time and ensure no part of the signature causes slow rendering.

5. Error and Bug Tracking

  • Objective: Identify and document any issues during testing for corrective action.
  • Tasks:
    • Create a QA log for each email client/device tested.
    • Note issues such as:
      • Image distortion
      • Font fallback problems
      • Alignment shifts
      • Broken links
    • Classify issues by severity (Critical, Major, Minor).
    • Assign action items to development/design team for correction.

6. Final Approval and Documentation

  • Objective: Obtain sign-off from SayPro Brand Material Office after successful testing.
  • Tasks:
    • Compile testing results and resolutions in a final QA report.
    • Submit report and samples/screenshots for internal review.
    • Request formal approval from Brand Office for deployment.
    • Archive templates and documentation in SayPro’s internal resource system.

7. Deployment Readiness Confirmation

  • Objective: Ensure readiness for organization-wide rollout.
  • Tasks:
    • Provide installation guidelines for end-users.
    • Prepare email template installation instructions (Outlook, Gmail, Apple Mail, etc.).
    • Coordinate with IT support for distribution across departments.
