The process is designed to check for compliance with branding standards, maintain uniformity, and uphold a consistent representation of the SayPro brand across all email communications.

1. Creation of Branded Email Signature Templates:

  • Responsible Party: SayPro Brand Material Office (under SayPro Marketing)
  • The SayPro Brand Material Office designs and creates email signature templates that align with the company’s established brand guidelines. These templates ensure that all employees’ email signatures are consistent and professional, including logo usage, font styles, colors, and other key brand elements.
  • Templates must incorporate the following elements:
    • SayPro logo and other relevant imagery.
    • Employee name, title, and contact information.
    • Consistent font type, size, and color scheme aligned with the SayPro visual identity.
    • Appropriate legal disclaimers, if applicable.
    • Optional branding for specific departments or teams within SayPro.

2. Monthly Monitoring and Compliance Checks:

  • Responsible Party: SayPro Brand Material Office, supported by IT/HR departments
  • Frequency: Monthly (as part of the SayPro Monthly January SCMR-13)
  • Objective: Ensure all employees are using the approved email signature templates and adhering to SayPro’s branding standards.
  • This monitoring process involves:
    • Automated and Manual Audits: Regular audits of email signatures through automated tools (if available) or manual checks conducted on randomly selected employee emails.
    • Assessment Criteria: Ensure email signatures are correctly formatted and display consistent branding elements such as font, logo, colors, and disclaimers.
    • Tracking Compliance: Documenting the status of compliance for each employee’s email signature.

3. Identification of Non-Compliant Email Signatures:
