Job Title: SayPro Printing and Production Coordinator

Job Purpose

The Printing and Production Coordinator plays a key role in executing the visual and physical components of SayPro’s marketing campaigns. This role is responsible for managing the end-to-end print production process, ensuring that all printed materials meet brand standards, align with campaign objectives, and are delivered on time. You will work closely with the SayPro Marketing Team, the Brand Material Office, and external print vendors to bring SayPro’s monthly marketing campaigns to life, particularly the SayPro Monthly initiative.


Key Responsibilities

1. Collaboration & Communication

  • Work closely with the SayPro Marketing Team to understand campaign timelines, creative concepts, and specific printing requirements.
  • Liaise with internal stakeholders and the Brand Material Office to align all printing materials with the SayPro Brand Guidelines and marketing royalty standards.
  • Coordinate with project leads to ensure print deliverables for SayPro Monthly (reference: SCMR-13) are ready in advance of campaign launches.
  • Participate in team meetings to discuss production timelines, delivery logistics, and potential challenges.

2. Print Planning & Execution

  • Review campaign briefs to determine the most suitable printing options in terms of format, volume, and materials.
  • Source and select appropriate paper stock, finish types, and formats in collaboration with the Brand Material Office and according to SayPro’s approved supplier list.
  • Maintain quality control by reviewing and approving proofs and samples before full-scale printing.
  • Ensure printed materials support the aesthetic, tone, and objectives of SayPro Monthly campaigns.

3. Vendor & Resource Management

  • Work with approved vendors to obtain quotes, finalize specifications, and manage timelines.
  • Track and manage the print production budget in accordance with marketing allocations.
  • Monitor vendor performance, ensuring quality and delivery meet expectations.
  • Address any delays, errors, or adjustments required during the production process.

4. Documentation & Process Improvement

  • Maintain detailed documentation for each campaign’s print requirements, timelines, and results.
  • Provide post-campaign reviews related to printing performance and suggest improvements.
  • Ensure consistent filing of all project documentation and samples under SCMR references for audit and reference purposes.
  • Collaborate with the Brand Material Office to update or enhance printing guidelines as needed.

Key Deliverables

  • On-time delivery of printed materials for SayPro Monthly and other marketing campaigns
  • Accurate and aligned execution of printing in accordance with SayPro Brand Material Office standards
  • Clear documentation of production workflows and cost tracking
  • Efficient vendor coordination and proofing process

Required Skills and Qualifications

  • 2+ years of experience in marketing production, print management, or a related role
  • Strong understanding of print processes, materials, and finishing techniques
  • Familiarity with brand compliance and visual identity standards
  • Excellent project management and communication skills
  • Ability to multitask and meet tight deadlines in a fast-paced environment
  • Proficient in Microsoft Office and basic design tools (e.g., Adobe Acrobat, InDesign – bonus)

Preferred Qualifications

  • Experience working in a brand-oriented organization
  • Familiarity with marketing campaign workflows and print vendor management
  • Knowledge of inventory and print distribution logistics
