I herewith declare that SayPro is now fully open to the TVET Colleges to refer their students in large quantities to do practicals in all SayPro offices.

There is enough work for everyone to work directly from SayPro offices nationwide and also to work remotely from their Residencies and Campuses.

SayPro has dedicated training for all its Supervisors to ensure that they coordinate and manage your Learnership Students from the SayPro Offices and directly from home.

SayProP277-6-4-1-3 SayPro Learnership Hosting Agreements

  • SayPro is the main hosting company so it shall sign an hosting agreement with the TVET College that is providing the learnership training to students
  • SayPro’s agreement with the TVET College is specifically to provide meaningful work experience for your students.
  • SayPro during the period will expect the TVET College to provide stipends for the candidates.
  • SayPro at its discretion may top up or offer employment to the candidate especially after they have completed the programme.
  • SayPro has enough space for more than 3 000 people due to the pressure of work that it has.

  • SayProP277-6-4-1-5-1 SayPro requires that all candidates applying for hosting and training to do the following:

SayProP277-6-4-1-6 SayPro Learnership Hosting Onboarding Process


1. Pre-Onboarding Preparation

SayPro’s responsibilities:

  • SayPro Management will confirm learnership program scope with the TVET College. TVET Colleges needs to provide the Qualification Details including sending the TVET College PDF Logbook Document to SayPro contact person
  • SayPro Management Team will then sit and review the Logbook and ask further questions with the TVET College for further clarity and expectation
  • SayPro will embed the Logbook Schedule into the SayPro Calendar of Events
  • SayPro will prepare Workplace Training Materials, schedules, contracts, and onboarding packs for the Learnership candidates
  • SayPro will Schedule and Coordinate induction sessions with the learners and ensure that all records are kept on the SayPro App Human Capital File.
  • SayPro will provide jobs and responsibilities and supervise the Learnership candidate from time to time until the end of the duration
  • SayPro will provide back and forth feedback to the TVET College as per the arrangement of Monthly, Quarterly or as when needed by the TVET College

2. Candidate Communication & Selection

Activities:

  • Since placement is done directly by the TVET College. SayPro does accept candidates appointed and selected by the College
  • It is Compulsory for SayPro conduct interviews to appointed candidates for SayPro Human Capital Management Procedure.
  • SayPro shall notify shortlisted candidates via email, SMS, or phone call.
  • Share program details (duration, stipend, requirements, expectations).
  • Collect required documents:
    • Certified ID copy
    • Matric certificate
    • Bank confirmation letter (If Applicable)
    • Proof of residence
    • Medical info (if applicable)
    • Disability documentation (if applicable)

3. Orientation & Induction

Delivered by SayPro in-person or online:

  • Welcome presentation about SayPro and the TVET College (If necessary)
  • SayPro will explain the purpose of the learnership job
  • Roles and responsibilities of SayPro as the TVET College Learners host employer
  • SayPro will discuss SayPro code of conduct, SayPro Policies, SayPro attendance policy and SayPro disciplinary procedures.
  • SayPro will Plearnership Job calendar and key milestones.
  • SayPro will introduce supervisors and support staff.
  • SayPro will explain reporting protocols for TVET Learnership candidates

4. Signing of Contracts

Documents to be signed:

  • Learnership agreement (learner, host employer, and SayPro).
  • Employment or stipend contract (depending on program structure).
  • Learner declaration and consent forms (POPIA compliance).
  • Policies acknowledgment (grievance, health & safety, etc.).

5. System & Platform Onboarding

For digital learnerships or blended learning:

  • Provide logins for SayPro’s LMS or third-party platforms.
  • Technical training on how to access and submit assignments.
  • Install any required apps or tools (Zoom, MS Teams, Moodle, etc.).

6. Allocation to Host Companies

(If workplace learning is included):

  • Match learners to host companies based on program requirements.
  • Issue workplace learning logbooks or portfolios of evidence (PoEs).
  • Introduce workplace mentors/supervisors.

7. Ongoing Support Setup

SayPro provides:

  • Learner support contact details (coordinators, facilitators).
  • Monthly check-ins and mentorship sessions.
  • Support with compliance reporting to SETA.

8. First Learning Session

  • Kick off with Unit Standard 1 or Orientation Module.
  • Begin formal classroom or online training.

Optional Add-ons:

  • Wellness session or motivational workshop.
  • Icebreaker activities to build group rapport.
  • Career guidance session or CV building workshop.

  • SayPro will place each Learnership Student under a Royal (Department) Chief with Office Manager, Officer, Specialists who will be able to provide support and guidance to the Learnership
  • Each learner shall be supported by a minimum of 5 people within each Royal (Department)

SayProP277-6-4-1-9 SayPro Learnership Terms and Conditions

1. Definitions

  • SayPro: The accredited training provider responsible for delivering theoretical learning and managing learnership compliance.
  • Host Employer: SayPro is hosting learners for practical workplace experience.
  • Learner: An individual enrolled in a learnership program.

2. General Obligations

2.1. SayPro Shall:

  • Provide accredited training in line with the unit standards or curriculum of the registered learnership.
  • Ensure facilitators, assessors, and moderators are qualified and registered.
  • Issue learning materials and PoEs (Portfolios of Evidence).
  • Monitor learner progress and attendance.
  • Submit reports to the relevant SETA and manage compliance.
  • Disburse stipends (if applicable and managed by SayPro).
  • Provide support and mentorship throughout the program.

2.2. As a Host Employer SayPro Shall:

  • Provide a safe and suitable workplace environment.
  • Assign a workplace mentor or supervisor for each learner.
  • Offer learners the opportunity to gain relevant practical experience.
  • Complete required assessments or workplace reports/logbooks.
  • Support SayPro in performance monitoring, site visits, and SETA audits.
  • Comply with Labour Law, OHSA, and Employment Equity Act.

2.3. Learner Shall:

  • Attend all training and workplace learning sessions.
  • Abide by the Code of Conduct and workplace rules.
  • Complete all assignments, assessments, and PoE submissions.
  • Report issues or absences promptly to both SayPro and the host.
  • Not engage in misconduct or behavior that could jeopardize the program.

3. Duration and Commitment

  • The learnership term is fixed (e.g., 12 months unless otherwise stated).
  • Early termination by any party must follow due process and be documented.
  • Learners may be removed for non-compliance, misconduct, or prolonged absenteeism.

4. Stipends and Payments

  • SayPro (or the funder/SETA) is responsible for managing stipend payments unless otherwise agreed.
  • Stipends are conditional on attendance and participation.
  • SayPro as a Host Employer is not obligated to pay learners unless otherwise agreed.

5. Confidentiality & Data Protection

  • All parties must maintain confidentiality regarding personal and business information.
  • Learner data must be processed according to POPIA (Protection of Personal Information Act).
  • SayPro and the host employer shall not share learner information without consent unless required by law or SETA.

6. Health, Safety & Liability

  • Host Employers are responsible for ensuring compliance with Occupational Health and Safety Act (OHSA).
  • SayPro shall ensure learners are briefed on safety during induction.
  • Any injuries or incidents must be reported to SayPro and SETA immediately.

7. Monitoring and Evaluation

  • SayPro will conduct regular site visits and learner assessments.
  • Host Employers are expected to cooperate with these visits.
  • Learners will participate in feedback sessions and surveys.

8. Termination or Withdrawal

  • Termination must be documented in writing and shared with all parties and the SETA.
  • Grounds for termination include:
    • Absenteeism
    • Misconduct
    • Lack of progress
    • Business closure or incapacity

9. Certification

  • Learners will receive a Statement of Results (SoR) and/or certificate upon successful completion and verification by the SETA.
  • In the case of Hosting they shall receive a completion Learnership Hosting Completion Certificate from SayPro

10. Dispute Resolution

  • Any disputes will be resolved through internal procedures first.
  • If unresolved, matters may be escalated to the relevant SETA or legal mediation.

11. Signatures

This document must be signed by SayPro, the Host Employer, and the Learner to confirm understanding and agreement.
