    This is to confirm that the Chief Education Royalty and Chief Development Royalty are required to submit to the Royal Committee as per SayPro Human Capital Mapping. All activities must be added and implemented with or without budget. If you can’t, a request must be made to the Royal Committee and must be approved by me.

    1. 5 Years Targets and Report to be presented every 5 years starting from the year with 6 to 10 and 1 to 5 before the end of the year 5 and year 10. This means that they must set Targets for 2026 – 2030 and 2021 – 2025 until the financial year end. They must present how far towards the 5 year targets

    2. Yearly Targets and Report against the 5 Year Targets. They must contribute towards the 5 target. These must be presented in March each year

    3. Quarterly Performance Targets and Reports. Targets must be set by the last month of the previous quarter

    4. All targets must be presented before the year end or quarter end or month end.

    5. Requests must be made for underperformance to the Royal Committee to extend or carry over officially, and I must approve. Also, on overperformance.

    6. The Royal Committee Procedure must be followed for this.

    7. Should there be additional projects or activities after the targets have been set. The request must be done to the Royal Committee for my approval.

    This is to inform you regarding the Royal Committee is a respected Committee, and it deserves all the respect as it can.

    1. The secretary will do media interviews, videos, and communication with external inquiries. The request must be approved by me after the Royal Committee approval. The secretary has access to ask me should there be any queries or clarity seeking questions. I do have the right to follow up and request information from the secretary through the monitoring and evaluation chief. No interviews without my permission. SayPro Royal Chairperson will also be doing media. Refer to SayPro staff calendar of events.

    2. Should any employee from Clients and Partners wants to meet the Royal Committee. They must do so in writing, and the request must be approved by me before the Royal Committee can respond to the enquires in writing

    3. All staff and clients in Programmmes and Services have full access to the Royal Committee without permission request or appointment. Royal Committee will listen to them and attend to their queries immediately.

    4. When there are visitors to the location where the Royal Committee is. You are not allowed to introduce the Royal Committee

    5. External people such as donors, funders, sponsors, and paying clients like employees working for governments, other businesses, and organisations. Are not allowed to communicate with the Royal Committee. This is to ensure that the Royal Committee is fully respected.

    6. You all pray to God. All praises go to him alone. Avoid praising people, donors, and funders. God is above all of them. Praise him all the time. Not people or companies or their money.

    7. Should people travel anywhere or attend to anything without my approval or permission on the above? They shall be dismissed with immediate effect.

  • SayPro256: SayPro Neftaly Malatjie request regarding Resting, Leaves and taking a break

    To the Chairman of SayPro, Mr Clifford Legodi, his Committee, and the Royal Chiefs

    This is to remind people that there is 21 Days Annual Leave for those working at the office. Or 1 and half day for rest per month.

    The leave must be taken after 6 months of working with SayPro.

    Record keeping should be done for those working at the offices. For those at home. It is not compulsory.

    Those who will be working at night are entitled to resting during the day.

    If you were working until midnight, you are allowed to sleep during the day. To ensure a rested body.

    You may also opt to not go go to the office.

    Those with tight deadlines are required to work even at night to meet the deadlines. They will replace those days after meeting their deadlines.

    Those who will be working until midnight can start their day early or late or whichever works to ensure that they have enough time to rest.

    Ensure that the SayPro Human Capital Policy references the information as per my circular..

    Everyone must take a break except interns.

    I herewith inform you that I have received multiple complaints about interns, staff, Royal Committee Members and volunteers who are not cooperating with the Chiefs, Senior Managers and Officers when it comes to work, their attendance and performance.

    Please follow this procedure from now on:

    1. Serve them with 3 written warnings (not applicable to Royal Committee, Interns, learners, or Volunteers). Keep records, and do not delete emails. Do not use WhatsApp or Teams for this.
    2. Interns, Royal Committee, and Volunteers: If you have attempted to communicate with them several times and they are not listening, terminate them with immediate effect.
    3. Inform the Project Manager (especially for internships, learnerships and Volunteering)
    4. Meet the Royal Committee immediately without appointment. Present your warning letter and ensure that the meeting is documented as per the meeting management procedure
    5. Seek my advice and act upon it
    6. Terminate/Suspend pending hearing/Fire the person immediately.
    7. Find Replacement if there is a need or it is compulsory to replace

    Please be reminded of the following procedure for the handover of Finance Files

    Please submit the following as per contracts from clients and on each company as required monthly, quarterly, and annually.

    Step 1: SayPro Chief Financial Officer and Company Director or Company Head an example SayPro Chief Development or SayPro Chief Education or any head of the company

    1.1. Cover Letter requesting SayPro Royal Committee to accept the handover and listing the files

    1.2. Resolution Letter declaring that you have checked everything is in order and compliant to the contract or in line with the bank statement. Declare that the Financials are compliant with the requirements as stated by the Client. The resolution must be approved by the Officer, Manager, the Royal Chief, Chief Monitoring Officer, and Chief Operations Officer

    1.2. Bank statements for the period if required by the client compulsory for the internal reporting

    1.3. Expenditure Report for the period and the summary that explains the spending period to the end of the project. E.g. if it is month 1 of 12.

    1.4. All supporting documents are required by the client. Refer to their contract. Also, quote in the resolution that you have complied with the requirements.

    1.5. If there is a Project Report, the report must be supported by attendance registers, reports, certificates, Statement of Results

    1.6. Minutes of the meeting and the attendance register indicating the discussion during the meeting

    1.7. SayPro Treasurer and Deputy Treasurer must be available at the meeting and all steps.

    Once the above have been complied with, then they must be submitted to the SayPro Royal Committee. The committee must reject the report if it does not comply with the above

    Step 2

    2.1. The above must be handed over to the Royal Committee

    2.2. Royal Committee must sit and receive the handover.

    2.3. Minutes of meeting and attendance Register must be prepared and approved

    2.4. A resolution and a cover letter must be drawn for the handover to Neftaly Malatjie

    2.5. If there are corrections to be made. Save all files as they are and recommend them to fix them. They must go back to step 1 and fix all the issues.

    Once they have fixed on Step 1, they must return to the SayPro Royal Committee to hand over.

    SayPro Royal Committee has the right to decline or approve the submission.

    If they have passed. Then, move to step 3

    Step 3

    3.1. Send a link as per the constitution condition to submit the file 10 days before the meeting on SayPro Finance and Treasury

    3.2. Invite Neftaly Malatjie without an appointment to review and approve.

    3.3. I will decline or approve or recommend changes.

    3.4. Ensure that this meeting is also minuted and filed.

    3.5. Due to back and forth, you may also face attending to the same issue more than 5 times. It means that there must be 5 files, each with revisions as they are seen.

    This circular and others must be saved on staff under SayPro Circulars

    Ensure that this circular is also interpreted in the SayPro Policy and Procedure.

    Signatures from the SayPro Royal Committee must be from original sources. Chiefs and officials are not supposed to be original. For the Royal Committee, it must be scanned letters Electronic signatures will be accepted for submissions from SayPro Royal Chiefs and their officials due to remote working.

  • SayPro336: SayPro Neftaly Malatjie Procedure for changing, appointment, and replacement of Royal Committee Members and SayPro Royal Chiefs

    I herewith inform you to follow the following instructions

    This is done during resignations, death

    1. Sit as a committee and minute the discussion

    2. Write a resolution to replace or appoint or change the whole committee and a cover letter

    3. Submit the handover to Neftaly Malatjie for approval and authorisation

    4. Invite and appoint a replacement who is over 50 years old and unemployed and not be part of political, church, or other structures. He or she must know English, work in offices or high level position and be available to take this responsibility. There are no requirements in terms of qualifications or education. A minimum of 5 people must be interviewed if they are from outside. During submission, mention the person you have voted and accepted.

    5. Interview the candidate. Record the interview records, qualifications, and ID

    6. Submit a cover letter and resolution to appoint the individual

    7. The Chairperson must arrange the date of the oath, and the Bible must be used.

    8. The secretary must conduct the training. SayPro Royal Chiefs musr also train the Royal Committee members, including SayPro Chief Monitoring and SayPro Chief Operations
