1. Policy Overview
This policy provides a framework for managing courses offered by SayPro, ensuring they meet quality standards, align with organizational objectives, and provide value to participants. It outlines processes for course creation, delivery, evaluation, and improvement while maintaining compliance with industry regulations and standards.

2. Objectives
- Standardize the management of SayPro courses across Royals.
- Ensure courses are relevant, accessible, and aligned with learner needs.
- Promote continuous improvement through feedback and regular evaluations.
- Protect intellectual property and sensitive course content.
3. Scope
This policy applies to:
- All SayPro Human Capital, contractors, and trainers involved in course management.
- All SayPro courses, including online, in-person, hybrid, and LMS-based formats.
4. Key Management Guidelines
4.1 Course Development
- Courses must align with SayPro’s mission, objectives, and industry standards.
- Use the Course Proposal Template (SayProT124-01) to document course objectives, target audience, and structure. Use GpT to assist you in mapping your courses.
- The course should be named as SayProC then the course number. Example is SayProC1
- All courses starts with SayPro Training Course in
- For accredited courses after C then add the course number in line with the accreditation body
- The course should have training material listed with the title Training Material at the end. This is important that you list the material and the course same time.
- Obtain approval from the SayPro Curriculum Review Committee before development begins. Follow the meeting and approval procedure for guidelines.
- SayPro Education is designed for everyone from any background and any level to design, develop courses and sell courses. SayPro is an open system for everyone. SayPro management and team will assist ensuring standardisation and compliance with SayPro Policies and Procedures.
- No Free Courses shall be allowed on SayPro
- No capital letters on courses and small letters on course titles. The course titles should be in a sentence case
- All courses must carry the SayPro Logo or a picture with branding from any Course Developer. No courses will be allowed without a cover or SayPro Logo. Download and upload pictures from the internet for this.
- All SayPro Courses must carry the Price, Curriculum (Lessons, Quizzes and Assignment, links to Videos), Content Drip (Optional).
- Video Adverts are compulsory.
- Main settings must be followed: Course Name, Category, Level, Owner, Co-Instructor, Video Link, Course Duration, Video Duration, Description, Course Preview Description, Basic Info, Course Requirements, Intended Audience, Course Status, Current Students, Access Duration, Access Device Types
- Setting – Main: Certificate Info ensure that you specify that it is Competency Certificate or Certificate of Attendance to ensure that you comply with national and international education legislation
- Certificate Info: Specify details about the certificate of Competency or Attendance that they will get after attending your training courses. SayPro certificates can be emailed.
- PDF Course Catalogue must be uploaded on attachments. Compulsory SCMR Branding must assist
- Post Link Course Catalogue must be uploaded on Education Posts. Compulsory SCMR Branding must assist
- PDF Career Pathway must be uploaded on attachments compulsory. SCMR Branding must assist

- Setting – Access – Trial Course: Use this option if the course it is for trial. This means that you are giving people access to the course for a certain period of time. Then after testing they can cancel or continue to make a full purchase.
- SayPro Setting – Access – Time Limit: Here you set a duration in which a student will have access to each course. Normally SayPro gives people 365 days access to each course. You can adjust to suit your needs. Once the duration expire the Client has to buy the course again
- SayPro Setting – Access – Upcoming Course Status: Notification text about upcoming courses, coming soon end date, coming soon end time, allow pre-ordering (people can buy before the start date), allow email notification, show course author, category and rating, show course price
- SayPro Setting – Prerequisites: Passing percent (means that the person must have passed with how many %) and course (Select the course that they must have done before entering this one to qualify for this one)
- SayPro Setting – Course Files: Here you can upload the Course Catalogue from SayPro Branding Royalty for assistance. This is free for outside course developers. SayPro Official will develop and upload for you.
- SayPro Setting – Certificate: Select the certificate you are going to use. Otherwise develop a new one
- SayPro Setting – Course Page: Here you will select the design of how you want your course to look.
4.2 Course Delivery
- All courses are to be managed on education.saypro.online for schools and higher education. EnSayPro will be used by the public not SayPro officials or for SayPro courses.
- SayPro clients will be used by past students from 2020-2024 December to download certificates only. New registrations must be on education.saypro.online only
- Accredited courses starts on 1 February and ends on 30 November each year
- Trainers must be qualified and authorized by SayPro and Quality Assurance bodies for the qualification they are training
- If not authorised or accredited then it must be disclosed that the course is a workshop and is not accredited
- Use approved tools and platforms, such as the SayPro LMS, for online delivery.
- Maintain a participant-friendly environment during in-person sessions.
4.3 Participant Registration
- Participants must register using the SayPro Course Registration Form (SayProF124-01). The form must be amended from time to time to align with the registration bodies, feedback forms, and requirements from Course Developers, Instructors and the general public.
- Those who have registered must amend their profiles upon starting the course
- Verify participant eligibility and ensure proper documentation is submitted. ID, CV, Qualifications must be submitted.
4.4 Assessment and Certification
- Assessments must align with course objectives and be documented using the Assessment Template (SayProT124-02). Refer to authorities guidelines.
- Issue certificates upon successful completion using the Course Completion Certificate Template (SayProT124-03).
- Certificates that are not accredited must mention certificate of attendance to avoid breaching the national and international laws.
4.5 Feedback and Continuous Improvement
- Collect feedback using the Course Feedback Form (SayProF124-02). It is compulsory that all Clients who completed the course must leave a course review. It is an offence to not have a course review after completing each course.
- Review and incorporate feedback during quarterly course evaluations. Refer to requirements for this reporting on SayPro Events.
5. Procedures and Processes
5.1 Course Proposal and Approval
- Submit a completed Course Proposal Template (SayProT124-01). The proposal must be submitted on SayPro Education and the request be submitted on SayPro Research Work or SayPro Questions, Tasks and To do lists group
- Review and approval by the Curriculum Review Committee. The process must include approval from SayPro Education Specialist, SayPro Education Officer, SayPro Education Director, SayPro Chancellor, SayPro Chief Operations Officer, SayPro Chief Monitoring Officer, 6 Royal Committee Members and finally by Neftaly Malatjie.
- Once approved, proceed with course content development.
5.2 Course Registration
- Distribute the Course Registration Form (SayProF124-01) through SayPro’s communication channels.
- Validate participant details and eligibility.
- Confirm registration and provide course details to participants.
5.3 Delivery and Monitoring
- Ensure trainers follow the approved course structure.
- Monitor progress using the Course Delivery Log (SayProF124-03).
- Address participant concerns during sessions promptly.
5.4 Post-Course Activities
- Distribute the Course Feedback Form (SayProF124-02) to all participants. This part is added at the end of the course. This is linked to the course
- Compile and analyze feedback for future improvements. Work with SayPro Research Royalty on this
- Update course materials as needed before the next delivery cycle.
6. Roles and Responsibilities
- Course Developers: Create and update course content.
- Trainers: Deliver courses and assess participant performance.
- Curriculum Review Committee: Approve course proposals and ensure alignment with SayPro standards.
- Participants: Engage actively in courses and provide constructive feedback.
