1. Purpose

The SayPro Human Capital End-User and Account Management Policy (SayProP174) establishes guidelines for managing end-user accounts, authentication, access control, and security across all SayPro platforms, including SayPro-based websites and applications.

This policy ensures that:

  • All SayPro user accounts are securely managed and assigned appropriate access levels.
  • End-users, including staff, students, and clients, understand their account responsibilities.
  • Access to SayPro websites, portals, and systems follows a structured authorization process.

2. Scope

This policy applies to:

  • All SayPro websites and applications.
  • Human Capital (HC), partners, and contractors who require access to SayPro digital platforms.
  • Students and clients with enrollment or subscription-based accounts.

It covers:

  • User account creation, modification, and termination.
  • Authentication and security protocols.
  • Compliance with SayPro data protection and access control policies.

3. Account Management and Access Control

3.1 User Account Creation

  • Go to the relevant SayPro Website, SayPro Website or SayPro
  • Look for the Head or Account or Profile or Register or Login Option
  • Click on Register if you are new user and enter all the required information. Each SayPro Website/Kraal/App has different login options
  • Enter your Password and repeat it where necessary.
  • Some websites allow you to login to SayPro using other apps such as Google, Facebook, X and other Apps. Check if you have that account and login with it.
  • Then you are in.
  • For people requiring Administration or access that is as per Section 3.2 below please see your relevant Chief for Assistance. For partners working outside SayPro speak to the management at the company you are working for to assist you.
  • There you go you are in.
  • Refer to other SayPro Policies for instructions. Click on the menu above and go to SayPro Policies for instructions on other queries you may have.
  • All SayPro staff, students, and authorized users must have unique accounts.
  • SayPro Royal Directors approve account requests for Royal access.
  • Accounts are linked to verified SayPro email addresses.

3.2 User Roles and Permissions

  • Super Admin and Admin roles require CEO or Chief Marketing Royalty approval.
  • Regular users must have role-based access only.

4. Authentication and Security Controls

4.1 Password Management

  • Passwords must meet SayPro security standards (minimum 8 characters, including uppercase, lowercase, numbers, and special characters).
  • Multi-Factor Authentication (MFA) is required for all Admin and Super Admin accounts.
  • Passwords must be updated every 90 days.

4.2 Login and Session Policies

  • Failed login attempts are limited to 5, after which the account is temporarily locked.
  • Automatic logout after 15 minutes of inactivity for admin users.
  • SayPro security plugins must enforce login monitoring.

4.3 SayPro Administration User Access Management

  • Administrators login with your password on the relevant SayPro Website
  • Go to the Black Line on top with the SayPro Website TItle move your mouse or your finger there
  • Click on SayPro Dashboard
  • Go to SayPro Clients

5. Website Access and User Responsibilities

5.1 SayPro SayPro Website Guidelines

  • All SayPro websites must display the SayPro logo on every page.
  • Only approved themes and plugins from SayPro IT Security may be installed.
  • User-generated content must comply with SayPro digital policies.

5.2 Prohibited Actions

Users must not:

  • Share login credentials or use shared accounts.
  • Modify core SayPro settings without proper approval.
  • Install unauthorized plugins or make security-related changes.
  • Use SayPro websites for personal or unauthorized business activities.

6. Account Deactivation and Termination

6.1 User Account Reviews

  • Quarterly audits are conducted to remove inactive users.
  • Suspicious activity triggers an immediate security review.

6.2 Account Suspension and Deletion

  • Suspended accounts are reviewed within 30 days before permanent deletion.
  • Terminated SayPro Human Capital members must have accounts revoked immediately.

  • SayPro IT Security conducts monthly security audits on SayPro websites.
  • Any non-compliance cases must be reported to SayPro Chief Compliance Officer.

8.2 Policy Review and Updates

  • The policy is reviewed every six months to reflect new cybersecurity threats and SayPro best practices.
  • Changes require approval from the SayPro CEO and SayPro Royal Directors.
