  1. Employee Personalization Form:
    • SayPro will create a form that employees can fill in to personalize their email signature. The form will collect the following information:
      • Full Name: Employee’s full name (First & Last).
      • Job Title: Employee’s official job title.
      • Department: The department they belong to.
      • Contact Information:
        • Phone number (direct or office line).
        • Email address.
        • Fax number (if applicable).
      • Company Information:
        • Office location (street, city, and country).
        • Website URL.
      • Social Media (optional):
        • LinkedIn, Twitter, etc.
      • Company Logo: Automatically pulled from SayPro’s branding material database.
      • Employee Photo (optional): A professional headshot that will be included in the signature.
  2. Template Design: SayPro will provide a branded email signature template that employees can use. The design will incorporate the company’s official branding materials, ensuring uniformity in appearance.
    • Branding Standards: Use of SayPro’s official logo, brand colors, and fonts.
    • Layout:
      • Header: SayPro logo aligned on the left.
      • Employee Information: Name and job title prominently displayed with bold fonts.
      • Contact Info: Phone number, email address, and physical office address in a neat, easy-to-read format.
      • Social Media Icons: Small, clickable icons for LinkedIn, Twitter, and other relevant social platforms.
      • Footer: A disclaimer or legal text (e.g., confidentiality notice) at the bottom of the signature.
  3. Personalized Signature Generation: After filling out the form, the system will automatically generate a preview of the personalized signature, which the employee can view before submitting. This preview will include:
    • A preview of how the signature will look in an email.
    • Real-time updates as the user fills in their details.
