Purpose:

The SayPro Attendance & Time Sheets (ATT-1) are essential tools for tracking employee attendance, work hours, and project-specific time commitments. These forms ensure that SayPro maintains accurate records for payroll processing, project staffing, and resource allocation. They also promote accountability and transparency in staff attendance and task allocation across departments.


Key Functions of the ATT-1:

  • Tracking Work Hours: Monitors hours worked by each employee or project staff, including overtime, leave days, and other absences.
  • Attendance Monitoring: Provides an official record of attendance, helping to ensure that all employees adhere to their work schedules.
  • Payroll Support: The collected data directly feeds into payroll systems to calculate salaries, bonuses, or deductions related to attendance.
  • Resource Allocation: Ensures the efficient management of resources by providing accurate records of time spent on various tasks, projects, and activities.
  • Compliance and Reporting: Assists in compliance with labor laws and organizational policies by providing clear documentation of work hours and absences.

Template Structure of SayPro ATT-1:

  1. Employee/Project Staff Information
    • Full Name
    • Position/Role
    • Department/Project Team
    • Employee ID (if applicable)
    • Reporting Period (Week/Month Start – End)
  2. Daily Attendance and Time Entries
    For each day of the reporting period, the following fields are included:
    • Date
    • Time In: Recorded start time of the workday.
    • Time Out: Recorded end time of the workday.
    • Total Hours Worked: Total work hours per day (calculated automatically).
    • Leave/Absence: Specific type of leave (e.g., sick, annual, compensatory) or absence recorded for the day.
    • Overtime: Hours worked beyond the regular schedule (if applicable).
    • Remarks: Any additional notes (e.g., early departure, late arrival, special tasks performed).
  3. Weekly/Monthly Summary:
    • Total Hours Worked (Weekly/Monthly)
    • Leave Days Taken: Total days or hours of leave taken within the reporting period.
    • Overtime Worked: Total overtime hours worked within the period.
    • Comments/Remarks: Additional notes on attendance, such as frequent absences or reasons for overtime.
  4. Signatures and Approvals:
    • Employee Signature: Acknowledgment by the employee confirming the accuracy of the time sheet.
    • Supervisor/Manager Signature: Confirmation and approval by the direct supervisor or project manager that the timesheet is correct and verified.

Submission and Review Process:

  1. Weekly/Monthly Submission:
    • Employees complete the SayPro ATT-1 weekly or monthly, entering their working hours, leave, overtime, and any absences.
    • The form is submitted through the SayPro Monitoring System by the set deadline (typically Friday by 5 PM for weekly submissions or last business day of the month for monthly submissions).
  2. Supervisor Review:
    • Supervisors or project managers review the submitted time sheets for accuracy and compliance with the project schedules or organizational policies.
    • Any discrepancies or issues are flagged and discussed with the employee for clarification.
  3. HR/Administration Final Review:
    • Once supervisor approval is completed, the HR or administration department reviews all submitted time sheets for final processing.
    • Attendance and time records are integrated into the payroll system or resource management system as needed.
  4. Archiving and Reporting:
    • Completed and approved time sheets are archived in the SayPro Monitoring System for record-keeping and future reference.
    • Monthly reports on employee attendance and time records are generated for senior management review and decision-making.
