Position Overview:

The SayPro Brand Material Office Coordinator will be responsible for overseeing the execution of SayPro’s monthly print activities, ensuring all print projects are executed efficiently, cost-effectively, and in line with SayPro’s high-quality standards. This role includes managing print production, maintaining brand compliance, coordinating with internal teams, and ensuring the timely delivery of materials that align with SayPro’s professional image.

This position will directly support SayPro Monthly Printing activities under the SayPro Marketing Royalty SCMR, focusing on January’s print materials for SCMR-13. The Brand Material Office Coordinator will manage the entire process, from design approval to final print production, while ensuring that every material produced meets SayPro’s brand guidelines.


Key Responsibilities:

1. Brand Compliance:

  • Ensure Adherence to Brand Guidelines:
    Review and oversee the design of all print materials to ensure strict compliance with SayPro’s branding standards. This includes confirming that the correct logos, colors, fonts, and imagery are used in accordance with SayPro’s established visual identity.
  • Logo Usage:
    Verify that the SayPro logo is used consistently across all printed materials, with the correct size, spacing, and positioning as per the brand guidelines.
  • Color Palette:
    Ensure that the color palette aligns with SayPro’s official brand colors, making certain that all printed materials reflect the correct CMYK or Pantone values.
  • Typography:
    Ensure that only approved fonts are used for headings, body text, and calls to action. Ensure font sizes and spacing align with the brand’s typographic guidelines.
  • Quality Control:
    Maintain a high level of scrutiny to ensure that the final output matches the approved design proofs and that any inconsistencies are resolved prior to final printing.

2. Print Project Management:

  • Oversee Print Production:
    Manage the production process of all printed materials, from the initial design phase to the final delivery. This includes scheduling, coordinating with print vendors, and tracking progress to ensure deadlines are met.
  • Coordinate with Internal Teams:
    Work closely with internal teams such as marketing, sales, and HR to determine the materials needed, quantities required, and distribution plans.
  • Vendor Management:
    Identify and manage relationships with reliable print vendors. Obtain quotes, assess quality, and ensure timely delivery. Monitor vendor performance and handle any issues that arise during production.
  • Cost Management:
    Ensure that printing projects are completed within budget, negotiating with suppliers to obtain cost-effective solutions while maintaining high-quality standards.
  • Print Approvals:
    Review all printed proofs and approve final prints based on quality, design, and brand consistency.

3. Quality Assurance and Control:

  • Final Product Review:
    Inspect all finished print materials for accuracy, quality, and consistency with approved designs. This includes checking for color accuracy, text errors, material quality, and overall presentation.
  • Pre-Print Quality Control:
    Conduct pre-print checks to ensure files are correctly formatted for production, including verifying resolution, dimensions, bleed areas, and color profiles.
  • Post-Print Inspection:
    Upon receipt of printed materials, perform quality checks to ensure that the print run meets the expected standards. Address any defects, such as misprints, color inconsistencies, or issues with material quality.
  • Reporting on Quality Control Issues:
    Document and report any quality control issues to the production team and vendors, working towards solutions to prevent future issues.

4. Distribution and Delivery:

  • Ensure Timely Delivery:
    Coordinate the packaging and delivery of print materials to internal departments, partners, and events. Ensure that materials are delivered on time and in good condition.
  • Logistics Coordination:
    Oversee logistics to ensure the safe transport and handling of materials. Work with courier or delivery services to ensure that shipments arrive at their destination without damage.
  • Record Keeping:
    Maintain records of distribution lists, delivery schedules, and tracking information to ensure accountability and traceability of materials.

5. Documentation and Reporting:

  • Maintain Project Records:
    Keep detailed records of all print projects, including initial briefs, design drafts, approvals, budgets, and final outputs. Ensure that all documentation is organized for easy reference.
  • Monthly Reports:
    Prepare and submit monthly reports on printing activities, including a summary of completed projects, cost analysis, vendor performance, and any challenges encountered. Provide insights and recommendations for improvements in future print runs.
  • Inventory Tracking:
    Keep track of the inventory of printed materials, ensuring there is enough stock for future distribution and coordinating with suppliers for reprints if necessary.

6. Cross-Department Collaboration:

  • Collaborate with Marketing Team:
    Work closely with the SayPro Marketing team to ensure that printed materials align with broader marketing goals and campaigns. Provide input on design, content, and messaging.
  • Support Other Departments:
    Provide printed materials to various internal departments as needed, such as sales, HR, and events. Tailor the distribution of print materials to the needs of each department.
  • Client and Partner Coordination:
    Work with external partners to distribute print materials to clients, event attendees, and other stakeholders, ensuring that the materials are well-received and impactful.

Skills and Qualifications:

  • Educational Background:
    A degree in Marketing, Design, Communications, or a related field is preferred. Relevant experience in print production and project management is also acceptable.
  • Experience:
    • At least 3 years of experience in a print production, design, or brand management role.
    • Experience working with print vendors, managing budgets, and overseeing large-scale print projects.
  • Key Skills:
    • Brand Knowledge: In-depth understanding of branding principles and the ability to apply them to all print materials.
    • Project Management: Strong organizational and time management skills, with the ability to handle multiple projects simultaneously.
    • Attention to Detail: High level of attention to detail, ensuring that all print materials are accurate and meet brand standards.
    • Communication: Excellent communication skills for coordinating with internal teams and external vendors.
    • Problem-Solving: Ability to address issues that arise during the print production process and work with vendors to resolve them.
    • Technical Skills: Proficient in design software (e.g., Adobe Creative Suite), Microsoft Office, and print production tools.
