Location: SayPro Offices, Neftalopolis (or remote)
Position Overview:
The Giveaway Coordinator is responsible for overseeing the planning, sourcing, and distribution of branded giveaways to promote SayPro’s brand, engage with the audience, and enhance the company’s marketing strategy. This role involves vendor management, coordination with the marketing team, and ensuring that giveaways align with SayPro’s brand image, budget constraints, and marketing objectives. The Giveaway Coordinator will work closely with the Director of Brand Material and other cross-functional teams to ensure that all giveaways are executed efficiently and effectively.
Key Responsibilities:
1. Vendor Management:
- Sourcing and Vendor Liaison: Identify, evaluate, and select high-quality vendors who can supply branded merchandise for giveaways. Build and maintain strong relationships with reliable vendors to ensure quality and timely delivery of products.
- Vendor Negotiations: Negotiate pricing, terms, and conditions with vendors to ensure that giveaways are procured within the allocated budget while maintaining high standards of quality.
- Order Management: Oversee the order process for branded merchandise, ensuring that products are produced according to specifications, within deadlines, and meet SayPro’s brand guidelines.
- Quality Control: Regularly review the quality of products received from vendors and ensure they meet the expectations set by the SayPro Brand Material Office.
2. Giveaway Selection and Planning:
- Strategic Giveaway Selection: Collaborate with the SayPro Brand Material Office and the marketing team to select the most suitable branded giveaways to attract and engage visitors, clients, and target audiences.
- Budget Management: Manage the giveaway budget by ensuring that all purchases are within the financial constraints set by the marketing team, as outlined in the SayPro Monthly January SCMR-13.
- Campaign Integration: Work with the marketing team to ensure that selected giveaways align with the current marketing campaigns, events, and seasonal promotions.
- Trend Research: Stay updated on industry trends and consumer preferences to ensure that the selected branded giveaways are attractive, relevant, and engaging for the target audience.
3. Event and Campaign Coordination:
- Giveaway Distribution: Plan and coordinate the distribution of giveaways at events, trade shows, conferences, or other marketing initiatives. Ensure that giveaways are packaged, delivered, and presented in a professional manner.
- Marketing Collaboration: Coordinate with the marketing team to integrate the giveaway strategy into broader promotional efforts, ensuring that the giveaways support brand awareness and customer engagement.
- Metrics and Reporting: Track the success of each giveaway campaign, gathering data on the effectiveness of the giveaways in achieving marketing goals. Prepare reports and present findings to the Director of Brand Material and marketing team.
4. Administrative Support:
- Inventory Management: Maintain accurate records of branded giveaway inventory, ensuring that there is always a sufficient supply available for upcoming events and campaigns.
- Documentation: Ensure all vendor agreements, invoices, and other related documents are accurately filed and kept up to date.
- Collaboration and Communication: Regularly communicate with internal stakeholders, including the marketing, design, and sales teams, to ensure alignment of goals and strategies regarding giveaways and branded materials.
Qualifications:
- Education: Bachelor’s degree in Marketing, Business Administration, or related field (preferred).
- Experience: At least 2-3 years of experience in marketing, event coordination, or vendor management, preferably within a brand or promotional setting.
- Skills:
- Strong project management skills with the ability to multitask and meet deadlines.
- Excellent communication and negotiation skills.
- Proficient in Microsoft Office Suite (Excel, Word, PowerPoint) and familiarity with marketing platforms or CRM tools.
- Strong organizational skills and attention to detail.
- Creative and proactive in identifying opportunities to engage audiences through branded merchandise.
- Knowledge: Understanding of branding principles and consumer engagement strategies.
Working Conditions:
- This position may be based at the SayPro Offices in Neftalopolis or conducted remotely, with occasional travel required for events or meetings with vendors.
- Standard office hours (Monday to Friday), but flexibility may be required depending on campaign or event schedules.
