SayPro Documents Required from Employees

Objective:

To ensure compliance, transparency, and efficient HR management, SayPro requires all employees—new and existing—to submit key documents. This supports effective onboarding, employee recordkeeping, and ongoing employment verification as part of SayPro’s SCMR (Standard Compliance and Management Records) protocol.

Documents Checklist

1. Personal Identification Documents

  • Certified Copy of ID / Passport
  • Proof of Residence (not older than 3 months)
  • Recent Passport-size Photograph

2. Employment Eligibility Documents

  • Tax Number (SARS registration)
  • Work Permit (if applicable)
  • UIF Registration Number

3. Educational Qualifications

  • Certified Copies of All Relevant Qualifications
  • Professional Certifications or Licenses (if applicable)

4. Employment History

  • Updated Curriculum Vitae (CV)
  • Reference Letters from Previous Employers (minimum of two)
  • Last Three Payslips (if applicable)

5. Bank and Financial Documents

SayPro Monthly January SCMR-13 – Documents Display and Communication Wall

Purpose & Marketing Goal Alignment:

To visually organize and present the employee document requirements in SayPro offices to ensure accessibility, transparency, and brand consistency. The display serves as an HR touchpoint and an internal marketing element reinforcing professionalism, compliance, and SayPro’s values.


Design Concepts:

1. Clear Categorization with Color Codes

Each category of documents will be displayed in color-coded sections:

  • Green: Identification & Personal Info
  • Blue: Financial & Banking
  • Orange: Qualifications & Work History
  • Red: Internal Forms & Compliance
  • Grey: Health & Wellness

2. Modular Wall Display Units

  • Magnetic, glass-covered panels for updating information
  • Acrylic folders for paper handouts and forms
  • QR Codes embedded for digital access and uploading via SayPro HR Portal

3. Branded Visuals

  • Use SayPro’s brand colors: Deep Navy, Vibrant Teal, and Soft Grey
  • Typography: Clean sans-serif fonts (Montserrat or Open Sans)
  • Consistent use of SayPro logo, slogan, and compliance tagline: “People. Purpose. Process.”

Materials to Be Used:

  • Lightweight acrylic boards with laser-cut headers
  • Vinyl-printed icons and text
  • Wall-mounted LED backlighting to draw attention
