Job Purpose:
The Collaboration and Communication Specialist will play a critical role in ensuring the professional and timely installation of materials and equipment related to the SayPro brand. This individual will work closely with external contractors and suppliers to guarantee that installation projects align with SayPro’s quality standards, deadlines, and overall strategic objectives. They will also facilitate the seamless coordination between internal teams and external partners to ensure smooth project execution.
Key Responsibilities:
- External Contractor and Supplier Communication:
- Establish and maintain effective communication with external contractors and suppliers responsible for the installation of SayPro brand materials and equipment.
- Clearly convey project expectations, deadlines, quality standards, and necessary documentation to external partners.
- Regularly update external partners on any changes or developments that may affect installation timelines or project scope.
- Ensure that external partners understand and adhere to SayPro’s quality and brand standards during installation.
- Coordination of Installation Projects:
- Work alongside internal teams to schedule and monitor installation timelines, ensuring that they meet the deadlines specified in the SayPro Monthly SCMR (Supply Chain Management Report) for January.
- Collaborate with the SayPro Marketing team to ensure that installation processes are aligned with ongoing marketing campaigns and brand guidelines.
- Ensure all required materials are available and delivered to contractors on time, facilitating smooth and uninterrupted installation.
- Address and resolve any installation-related issues or challenges in real-time to prevent delays or quality concerns.
- Quality Assurance:
- Monitor and inspect installations to ensure that all work is completed according to SayPro’s high standards for quality and safety.
- Collaborate with the SayPro Brand Material Office to review and approve completed installations, ensuring the final result matches the design, specifications, and quality expectations.
- Provide feedback to contractors and suppliers if any adjustments or improvements are needed to meet SayPro’s standards.
- Documentation and Reporting:
- Maintain detailed records of all communications, contracts, and installation progress reports with external partners.
- Update the SayPro Monthly SCMR with installation status, any delays, and completion dates.
- Generate regular progress reports for internal teams, ensuring stakeholders are informed of the project’s status, challenges, and solutions.
- Collaboration with Internal Teams:
- Collaborate with the SayPro Marketing team to integrate brand guidelines and promotional strategies into installation projects.
- Coordinate with the SayPro Royalty SCMR team to ensure that project timelines and budgets are followed, and identify any discrepancies between planned and actual results.
- Provide insights and suggestions for process improvement based on lessons learned from installations.
- Problem-Solving and Issue Resolution:
- Anticipate potential delays or issues in the installation process and proactively address them with contractors or suppliers.
- Act as a point of contact for resolving disputes or issues regarding quality standards or installation timelines.
- Escalate significant challenges or delays to senior management when necessary, providing solutions and recommendations.
Qualifications:
- Education: Bachelor’s degree in Business, Marketing, or a related field.
- Experience: 3+ years of experience in project management, supply chain management, or coordination with external contractors/suppliers.
- Skills:
- Excellent communication and interpersonal skills, with the ability to effectively manage relationships with external partners.
- Strong organizational skills and attention to detail, ensuring that installation projects are completed on time and to the highest standard.
- Ability to work independently and collaboratively with internal teams.
- Proficient in Microsoft Office Suite (Excel, Word, PowerPoint) and project management tools.
- Problem-solving mindset with the ability to handle challenges and adapt to changes in project scope or timeline.
