Objective:
To ensure all SayPro employees maintain uniformity and alignment with SayPro’s corporate identity by using branded and up-to-date email signatures in line with the latest SayPro branding guidelines, as set out in the SayPro Monthly January SCMR-13 and managed by the SayPro Brand Material Office under SayPro Marketing Royalty SCMR.


1. Creation of Branded Email Signature Templates

  • The SayPro Brand Material Office, operating under the SayPro Marketing Royalty SCMR, is responsible for designing and distributing official email signature templates.
  • Templates are created in accordance with SayPro’s most recent branding standards, which include:
    • Company logo placement
    • Font type and size
    • Color schemes
    • Approved contact information format
    • Design elements consistent with SayPro’s corporate identity
  • These templates are reviewed and updated monthly, documented in the SayPro Monthly, specifically reference code SCMR-13.

2. Distribution and Implementation

  • Updated email signature templates are shared with all SayPro departments via internal communication channels at the beginning of each month.
  • Departmental administrators or HR representatives assist employees in applying the updated signatures across all SayPro-approved email platforms (e.g., Outlook, Gmail).

3. Consistency Monitoring Process

  • Regular Monitoring Schedule:
    • Consistency checks are conducted bi-weekly by the Compliance and Branding Monitoring Team.
    • Randomized audits of employee email correspondences are reviewed for signature compliance.
  • Audit Checklist Includes:
    • Use of current signature template version (as per latest SCMR-13)
    • Correct placement of all branding elements
    • Accurate and complete employee information
    • Appropriate disclaimers and taglines (if applicable)
  • Any deviations are logged and addressed with relevant employees and team leads.

4. Reporting and Feedback

  • A monthly Email Signature Compliance Report is compiled, summarizing:
    • Percentage of compliance across departments
    • Instances of non-compliance
    • Departments requiring retraining or additional support
  • Feedback is shared with department heads, and necessary corrective actions are advised.
  • Persistent non-compliance is escalated to HR for further review.

5. Ongoing Improvements and Updates
