- Purpose
The purpose of the SayPro Human Capital Admission Management Procedure is to establish a structured, fair, and transparent process for the admission of individuals into SayPro programs, services, and opportunities. This includes learners, interns, volunteers, and other Human Capital entering SayPro’s systems for educational, professional, or service-related engagement. - Scope
This procedure applies to:
- All applicants seeking admission to SayPro training, internship, volunteer, employment preparation, and professional development programs
- SayPro Human Capital (HC) Officers, Royal Directors, Deputy Chiefs, and administrators managing applications and admissions
- Internal systems, tools, and portals used for capturing, evaluating, and processing applications
- Definitions
- Admission: The official acceptance and registration of a Human Capital individual into a SayPro program or opportunity
- Applicant: Any individual seeking to participate in a SayPro program
- Officer: SayPro team member responsible for administering admissions
- Royal Director: Division leader overseeing admission operations and compliance
- Deputy Chief: Executive accountable for strategic oversight and escalation of admission decisions
- CHCO: Chief Human Capital Officer, leading the HC strategy across all divisions
- Objectives
- To ensure that SayPro admissions are consistent, equitable, and aligned with program objectives
- To uphold the highest standards of documentation, ethics, and governance in all admission activities
- To maintain accurate records of all Human Capital admissions for audit and compliance purposes
- Admission Procedure
5.1 Application Submission
Step 1: Applicant completes the SayPro Admission Application Form (SayProF526-01) online or via official submission channels
Step 2: Officer verifies form completion and supporting documents
Step 3: Application logged in the SayPro Admission Register
5.2 Screening and Eligibility Check
- Applications are reviewed by an assigned Officer within 5 working days
- Eligibility is assessed based on program criteria (age, qualification, residency, etc.)
- Ineligible applicants are notified using the SayPro Admission Decline Notice (SayProF526-02)
5.3 Review and Selection
- Eligible applications are shortlisted by the Officer and submitted to the Royal Director for review
- For high-volume or strategic programs, the Deputy Chief or CHCO may conduct a secondary review
- Final acceptance is issued via an official SayPro Admission Letter (SayProF526-03)
5.4 Registration and Onboarding
- Admitted individuals are issued a SayPro Registration Number and added to the Human Capital database
- Orientation and induction materials are provided
- Onboarding is conducted using the SayPro Admission Onboarding Checklist (SayProF526-04)
5.5 Appeals
- Unsuccessful applicants may appeal within 10 working days using the SayPro Admission Appeal Form (SayProF526-05)
- Appeals are reviewed by a designated Officer and Royal Director, with final decision by the Deputy Chief
- Roles and Responsibilities
SayPro Human Capital (Applicants):
- Submit truthful and complete applications
- Comply with SayPro codes of conduct if admitted
SayPro Officers:
- Review applications, communicate with applicants, maintain documentation
SayPro Royal Directors:
- Oversee screening, approve final lists, ensure fair processing
SayPro Deputy Chiefs / CHCO:
- Provide strategic oversight and resolve high-level escalations
SayPro Governance Unit:
- Ensure admission process compliance, monitor fairness, and conduct random audits

- All applicant data must be processed in compliance with POPIA and SayPro Data Protection Policy
- Admission decisions must be free from discrimination, bias, or favoritism
- Unauthorized manipulation of applications or admission outcomes may result in disciplinary and legal action
- Review
This procedure shall be reviewed every six (6) months by the SayPro Human Capital and Governance Units or earlier based on system feedback, legal changes, or operational developments.
