Task: Set Up Mechanisms to Monitor the Progress and Effectiveness of the New M&E Practices


Objective

To establish robust, real-time monitoring systems that track the rollout, adoption, and performance of the newly introduced Monitoring and Evaluation (M&E) best practices across SayPro’s operations. These mechanisms will ensure accountability, enable rapid feedback, and support data-driven adjustments.


Monitoring Mechanisms

1. Implementation Progress Dashboard

  • Tool: Google Data Studio, Power BI, or Excel-based dashboard
  • Tracked Indicators:
    • % of staff trained by region
    • % of projects using new data collection tools
    • Number of reports submitted using new templates
    • Common issues logged by support team
  • Frequency: Updated weekly during Q1 2025

2. Quality Assurance Compliance Checks

  • Conduct bi-weekly quality audits on submitted data and reports using a standardized checklist.
  • Checklist criteria:
    • Completeness of data
    • Consistency with validation rules
    • Timeliness of submissions
    • Alignment with new SOPs
  • Responsible Parties: M&E coordinators, supervised by the Implementation Support Team

3. Feedback and Adoption Surveys

  • Survey Audience: All M&E staff and project team members
  • Distribution Method: Google Forms or MS Forms
  • Key Questions:
    • Are the new tools easy to use?
    • What challenges are you facing?
    • Do you feel the new practices improve efficiency or accuracy?
  • Frequency: End of January (baseline), then quarterly

4. Learning Review Meetings

  • Bi-monthly virtual check-ins to:
    • Review rollout data and dashboard indicators
    • Address implementation barriers
    • Share lessons learned between departments
  • Participants: M&E Leads, Regional Focal Points, Implementation Support Team

5. Continuous Improvement Tracker

  • Maintain a living document that captures:
    • Suggestions for tool enhancements
    • Emerging training needs
    • Adjustments to SOPs based on real-world use
  • Reviewed monthly by the M&E leadership team

Expected Outcomes (By January 31, 2025)

  • A real-time dashboard in place tracking rollout status and staff adoption
  • First round of QA compliance checks completed and analyzed
  • Staff survey results collected to guide phase-two support and refinements
  • Learning mechanisms institutionalized to ensure sustained improvement
