SayPro Documents Required from Employees
1. Marketing Calendars & Content Plans
Employees are required to submit detailed marketing calendars and content plans to ensure smooth coordination and timely execution of personalized elements. These documents will outline the marketing activities planned for the upcoming period and will include the following key components:
- Platforms & Pages to be Used:
Identify all platforms (e.g., social media, email campaigns, websites) and specific pages (e.g., product pages, landing pages, blog posts) where personalized content will be incorporated. - Timeline:
A clear schedule of when each content piece will be launched, including dates for development, approval, and publishing. The timeline ensures the marketing efforts are aligned with both the overarching strategy and the personalized elements needed. - Content Themes & Topics:
Specify the themes, topics, or campaigns being executed during the month (e.g., product launch, seasonal campaigns, promotions) that will need SayPro’s branded personalization.
2. SayPro Monthly Personalization Document (SCMR-13)
The SCMR-13 document outlines the specifics for personalization in SayPro Monthly campaigns and serves as the official request for any custom elements to be added to marketing materials. This document must be filled out with the following information:
- Custom Elements to Be Added:
A list of custom elements that need to be integrated into the marketing content, such as:- Quotes: Specific phrases, testimonials, or motivational statements.
- Company Values: Key messages or values that represent SayPro’s brand identity.
- Branded Graphics or Visuals: Logos, icons, or specific imagery that aligns with SayPro’s style guide.
- Design Specifications:
Details of how the custom elements should be displayed (e.g., size, positioning, typography) in relation to the existing content to maintain consistency with SayPro’s branding standards. - Platform-Specific Adjustments:
Indicate if different personalized elements are required for various platforms (e.g., a short quote for Twitter vs. a longer one for LinkedIn). Each platform has unique character limits and format considerations. - Approval Workflow:
Outline the process for reviewing and approving the personalized content. Include names and contact information for relevant stakeholders who will approve the content before it goes live.
3. SayPro Brand Material Office (Royalty SCMR)
In addition to the personalized elements outlined in the SCMR-13, the SayPro Brand Material Office oversees the creation and distribution of the official branding materials required for campaigns. This includes:
- Brand Guidelines:
The official SayPro brand manual, which contains information on logo usage, color palettes, fonts, and other design elements to maintain brand consistency across all marketing materials. - Asset Library Access:
A centralized location where employees can access pre-approved brand assets such as logos, promotional images, and templates. Employees are encouraged to use these approved assets to avoid inconsistencies. - Royalty SCMR Guidelines:
The Royalty SCMR is a document that tracks the use of SayPro’s intellectual property in external campaigns. This includes monitoring how branded assets are used by employees, third-party vendors, and partners. Employees must ensure they request permission from the Brand Material Office before using any proprietary content in their personalized materials. - Usage Rights and Permissions:
Ensure that any third-party materials used within SayPro’s marketing content (e.g., stock images, licensed music, or video clips) are cleared for use and that all usage rights are properly documented.
4. Submission Process & Timeline
- Document Submission:
All documents, including marketing calendars, content plans, and personalization requests (SCMR-13), must be submitted to the SayPro Brand Material Office and Marketing Team no later than the 25th of each month to allow enough time for customization and approval. - Personalization Request Form:
Employees must fill out a personalized request form within the SCMR-13, detailing their content and platform needs. The form will be reviewed, and personalized content will be delivered within five business days, subject to approval. - Approval Timeframe:
The approval process should not exceed three business days from the submission date. If there are delays, employees will be notified promptly.
5. Training & Support
To assist employees in submitting the required documents and understanding the personalization process, the SayPro Brand Material Office provides monthly training sessions. These sessions will cover:
- How to effectively use the brand guidelines.
- How to request personalized elements and submit the SCMR-13.
- Best practices for aligning content with SayPro’s voice and identity.
