To ensure compliance with SayPro’s internal standards and branding guidelines, employees involved in the development, production, or procurement of printed marketing materials are required to submit the following documentation. These documents are critical to maintaining quality, traceability, and alignment with the SayPro Brand Material Office’s specifications.
5.1 Material Selection Report
Document Title: Material Selection Report – SayPro Monthly SCMR-13
Purpose:
This report provides a comprehensive account of the materials selected for all printed assets associated with SayPro Monthly campaigns. It ensures that all paper and finish choices meet the official standards outlined by the SayPro Brand Material Office under the governance of SayPro Marketing Royalty SCMR.
Mandatory Submission For:
Employees involved in print production, marketing materials coordination, and procurement activities linked to SayPro Monthly publications.
Content Requirements:
The Material Selection Report must include the following elements:
- Project Reference:
- SayPro Monthly Edition (e.g., January, February, etc.)
- Campaign Name or Project ID (e.g., SCMR-13)
- Paper Stock Selection:
- Type of paper (e.g., matte, glossy, recycled, uncoated)
- Brand and supplier of paper (if pre-approved vendors are not used, justification and samples must be included)
- Paper weight (in GSM – grams per square meter)
- Environmental certifications (e.g., FSC-certified, recycled content)
- Finish Details:
- Coating type (e.g., UV coating, aqueous, soft-touch)
- Binding method (if applicable, e.g., saddle stitch, perfect binding)
- Any special treatments (e.g., embossing, foiling, spot varnish)
- Alignment with Brand Standards:
- Confirmation that selected materials comply with SayPro Brand Material Guidelines
- Reference to the relevant guideline page or section
- Approval Section:
- Signature from the SayPro Brand Material Office representative
- Signature from the project manager or marketing lead
- Attachments:
- Physical samples (where required)
- Digital mockups or proof visuals
- Supplier quotations and lead times
Submission Deadline:
Must be submitted no later than five (5) business days prior to production commencement or vendor confirmation.
