Position Overview:

The Printing & Cost Management Coordinator at SayPro plays a key role in ensuring high-quality, cost-effective print production of SayPro Monthly publications and related brand material. This position involves end-to-end oversight of budgeting, material selection, and coordination with vendors to ensure all printed materials reflect the SayPro brand identity and are delivered on time, within scope, and within budget.


Key Responsibilities:

1. Budgeting and Cost Management

  • Track and manage the printing budget for SayPro Monthly publications, beginning with the January SCMR-13 edition.
  • Maintain detailed records of costs related to materials, vendor services, and shipping logistics.
  • Ensure that printing expenditures stay within the allocated budget established by the SayPro Marketing Royalty team.
  • Provide regular cost analysis reports and identify potential savings or optimization opportunities.
  • Forecast upcoming print project costs and participate in annual budgeting discussions with the Finance and Marketing departments.

2. Printing Coordination and Execution

  • Work closely with the SayPro Brand Material Office to coordinate the production and delivery of monthly print materials.
  • Select appropriate paper stock and finishes in alignment with brand guidelines and project specifications.
  • Liaise with print vendors to obtain quotes, negotiate pricing, and ensure quality standards are met.
  • Oversee the production schedule and manage timelines to guarantee on-time delivery of materials.

3. Quality Assurance

  • Perform final checks on all printed materials to ensure alignment with SayPro’s branding, design standards, and editorial accuracy.
  • Ensure color consistency, print quality, and finishing touches reflect SayPro’s premium brand image.

4. Compliance and Documentation

  • Adhere to procurement and financial procedures as outlined by the SayPro SCMR compliance framework.
  • Maintain and archive all records related to printing activities for internal audits and reporting.

Key Deliverables:

  • Monthly print production reports and budget summaries.
  • Approved paper and material specs for each edition of SayPro Monthly.
  • Vendor performance reviews and issue resolution reports.
  • Quarterly budget performance reviews in coordination with SCMR.

Qualifications:

  • Diploma or Degree in Marketing, Print Production, Supply Chain, or a related field.
  • 2+ years of experience in print production coordination, marketing support, or cost control.
  • Strong budgeting and cost analysis skills.
  • Excellent communication and negotiation abilities.
  • Proficient in Microsoft Excel and budget tracking tools.
  • Familiarity with branding guidelines and print specifications.

Preferred Competencies:

  • Experience with publishing or corporate brand materials.
  • Knowledge of sustainable and cost-effective printing practices.
  • Ability to work cross-functionally with creative teams and vendors.
