- Purpose
This policy establishes the framework for the prevention, reporting, investigation, and resolution of accidents involving SayPro Human Capital (HC), learners, clients, or visitors across all SayPro locations and events. The objective is to ensure workplace safety, compliance with occupational health standards, and immediate response to any incidents. - Scope
This policy applies to:
- All SayPro Human Capital, including contractors, interns, and volunteers
- SayPro clients, learners, and beneficiaries
- Visitors to SayPro facilities or events
- All SayPro workplaces, training sites, and transportation vehicles
- Definitions
- Accident: Any unplanned incident causing injury, illness, damage, or near-miss within SayPro premises or while carrying out SayPro duties
- Near Miss: An event that could have resulted in injury or damage but did not
- Incident Report: A written account of the accident submitted for review and investigation
- SayPro Accident Management Principles
4.1 Prevention First
- Emphasis on hazard identification, risk mitigation, and safety awareness
- Proactive maintenance of facilities and vehicles
- Mandatory safety training and signage
4.2 Prompt Response
- First aid and emergency services engaged immediately when needed
- Accidents reported within 2 hours of occurrence
- Incident logged and tracked within 24 hours
4.3 Confidentiality & Sensitivity
- Victim identities are protected
- Investigations are respectful, fair, and confidential
4.4 Compliance
- Compliance with national occupational safety legislation
- Accurate record-keeping for all incidents and actions taken
- Roles & Responsibilities
5.1 Chief Executive Officer (CEO)
- Ensures commitment to accident prevention
- Approves major safety reforms or funding for urgent infrastructure changes
5.2 Chief Human Capital Officer (CHCO)
- Oversees implementation of safety procedures
- Coordinates training, incident tracking, and rehabilitation processes
5.3 Royal Directors & Officers
- Ensure safety practices are enforced in all divisions
- Respond to and investigate reported accidents in their departments
5.4 SayPro Human Capital
- Immediately report accidents and unsafe conditions
- Participate in training and cooperate with investigations
5.5 Safety Representatives (where applicable)
- Conduct regular hazard assessments and safety drills
- Ensure all safety equipment is functioning and accessible
- Accident Reporting & Response Process
6.1 Immediate Response
- Provide first aid or medical assistance as needed
- Contact emergency services if necessary
- Secure the accident scene to prevent further harm
6.2 Reporting
- Complete the SayPro Accident Report Form (SayProF006-01) within 24 hours
- Submit form to the relevant Royal Officer or Safety Officer
6.3 Investigation
- Conducted by Royal Officer or CHCO within 3 working days
- Use the SayPro Incident Investigation Template (SayProF006-02)
- Determine root cause and recommend corrective actions
6.4 Follow-Up
- Corrective actions must be implemented within 5–10 business days
- Victim is offered necessary medical or psychosocial support
- Case is reviewed by Governance or Safety Committee if severity warrants
- Prevention Measures
- Regular workplace inspections and hazard assessments
- Installation of safety equipment (extinguishers, alarms, signage)
- Clear emergency exits and evacuation plans in all facilities
- Mandatory induction safety training for all new Human Capital
- Ongoing campaigns promoting safety culture (e.g., “Safe SayPro Month”)

Q1: What do I do if I witness an accident?
A: Provide immediate assistance if safe to do so and report to your Royal Officer. Complete SayProF006-01.
Q2: Will I be penalized for reporting an accident?
A: No. SayPro encourages prompt and honest reporting and protects reporters from retaliation.
Q3: Who pays for medical care if I’m injured on duty?
A: SayPro will coordinate coverage according to applicable labor laws and internal protocols.
Q4: What happens after I submit a report?
A: An investigation is launched, and you may be contacted for further information. You’ll be kept informed about any outcomes related to your case.
Q5: Is training available for accident prevention?
A: Yes. Mandatory training is conducted regularly and available upon request.
- Approval & Acknowledgment
All SayPro Human Capital are required to sign the SayPro Accident Management Acknowledgment Form (SayProF006-06) annually.
