1. Policy Overview

This policy governs the use of personal devices (e.g., smartphones, tablets, laptops) for official SayPro work. It ensures data security, employee productivity, and compliance with organizational standards while enabling flexibility for employees to use their own devices.

A study conducted by the SayPro Chief Operations Officer has confirmed that it is necessary to implement the Bring your Own Device Procedure based on the condition that past and current SayPro Human Capital have misused resources, wasteful internet data, non-compliance to SayPro asset management procedure.

Majority of SayPro Human Capital have been overusing SayPro internet data whilst production and output has been below the usage.

It is therefore necessary that as per the date above all SayPro Human Capital must bring their own devices such as cars, laptops, cell phones and internet resources.

It is important for all SayPro Human Capital to register with SayPro insurance policy. To ensure that they remain covered during their employment.

Should SayPro Human Capital be non-compliant the insurance benefits for bring your own device shall cease to exist.


2. Objectives

  • Protect SayPro’s data and systems from unauthorized access or breaches.
  • Provide guidelines for secure and appropriate use of personal devices.
  • Clarify responsibilities and expectations for employees using their own devices for work purposes.
  • All SayPro Human Capital are now required to bring their own Laptop, Smartphone. Internet Data and Personal Internet Modem to connect.
  • SayPro will no longer cover the cost of internet for Human capital who does not work from home.

3. Scope

This policy applies to:

  • All SayPro employees, contractors, and interns using personal devices to access SayPro systems, applications, or data.
  • All devices that connect to SayPro’s networks, including but not limited to smartphones, tablets, laptops, and desktops.

4. Key Management Guidelines

4.1 Device Eligibility

  • Devices must meet minimum security and technical requirements as defined in the Device Eligibility Checklist (SayProT145-01).
  • Employees must register their devices with SayPro’s IT department using the Device Registration Form (SayProF145-01).

4.2 Access and Usage

  • Employees are permitted to access approved systems and applications only through secure connections.
  • Personal devices must have updated operating systems and antivirus software installed.
  • Use of SayPro’s resources for illegal, unethical, or non-work-related activities is strictly prohibited.

4.3 Security Measures

  • Multi-factor authentication (MFA) is mandatory for accessing SayPro’s systems.
  • Lost or stolen devices must be reported immediately to the IT department.
  • Devices must comply with encryption standards as detailed in the BYOD Security Guidelines (SayProD145-02).

4.4 Monitoring and Compliance

  • SayPro reserves the right to monitor network activities on personal devices when connected to its systems.
  • Violations of this policy may result in loss of BYOD privileges or disciplinary actions.

5. Procedures and Processes

5.1 Device Registration

  1. Complete the Device Registration Form (SayProF145-01).
  2. Submit the form to the IT department for approval.
  3. The IT department will configure the device for secure access and provide a list of approved applications.

5.2 Access Setup

  1. Install SayPro-approved security applications on the personal device.
  2. Configure multi-factor authentication (MFA) for secure login.
  3. Test connectivity and functionality under IT supervision.

5.3 Security Compliance

  1. Ensure antivirus software and operating systems are updated regularly.
  2. Enable device encryption as per the BYOD Security Guidelines (SayProD145-02).
  3. Report any security incidents or breaches to the IT department immediately.

5.4 Termination of Access

  1. Upon resignation or termination of employment, the IT department will remove SayPro data and applications from the personal device.
  2. Use the BYOD Termination Form (SayProF145-02) to document the removal process.

  • Employees:
    • Register devices and ensure compliance with this policy.
    • Follow security guidelines and report incidents promptly.
  • IT Department:
    • Approve and configure devices for secure access.
    • Monitor and enforce compliance with security standards.
  • Management:
    • Ensure employees understand and adhere to BYOD policies.
    • Address non-compliance issues.
