Please note the following procedure for monitoring and ensuring the management of daily activities and submissions by SayPro Royal Chiefs.

As you are aware in 2024 you used to receive each and every line of work. That means that you used to receive 20 works from the same chief on the same day.

As of 01 January 2025 the procedure has been adjusted and will be supported by the SayPro Report Procedure and SayPro Handover Procedure from time to time. Communication will be sent to you for your attention.

I Neftaly Malatjie herewith remind you the first message is that do not give tolerance to non-compliance and non-performance by SayPro Human Capital.

All relevant Authorising people must use the word. Approval must be from the relevant official to the last person who is Neftaly Malatjie

It is a mandate that as from the date above SayPro Chief Operations Officer must stand before the SayPro Royal Committee daily to confirm which work has been submitted for yesterday by the SayPro Royal Chief. SayPro Chief Learning, Monitoring and Evaluation Officer must confirm that the Royal has indeed comply with the requirements from SayPro Events, SayPro Questions and SayPro Research Work.

SayPro Chief Operations Officer and SayPro Chief Learning Monitoring and Evaluation Officer must double check that all indicators are submitted daily. They must also review and confirm that all the work as per the event or SayPro question has been met. Neftaly can then proceed to review and issue an instruction for the relevant Royal to review and work on.

SayPro Chief Operations Officer backed by SayPro Chief Learning, Monitoring, Evaluation Officer must meet with the SayPro Royal Committee daily to confirm that the work has been submitted by each chief. This process must be through a conference call.

Prior to them submitting they must have written down the confirmation.

Minutes of the meeting must be published on SayPro Staff without names. Refer to SayPro Minutes Procedure and SayPro Meeting Procedure.

Each SayPro Royal Chief must stand before the committee daily to confirm that all works have been submitted for yesterday if it is during the week or last week Friday. All works that are due on the day must be submitted before 08:30 and when the Chief stands on the stage he or she must confirm that all work for yesterday has been submitted.

Once work has been confirmed SayPro Chairperson must lead the process for Neftaly Malatjie to urgently review submissions and approval.

Remember to refer to SayPro Authorisation Procedure, SayPro Handover Procedure and SayPro Approval Procedure

Be aware that works extension must be submitted 10 days before as per the constitution. People who will get to the meeting and confirm that they have internet problems, they do not understand, or they are behind, or give you stories except for the work. Fire them immediately.

It is now mandatory that each person completes the daily activities within the same date. For activities that requires actual human or actual physical activities must be conducted as per the instructions.

For any event which won’t be possible refer to SayPro Events Procedure and document the event as if it has happened. This is in the case we are not have the resource ready to implement.

All videos must be supported by Narrative must be written down and the official at SayPro Marketing Videos must ensure that she or he uploads the videos on the relevant post by the next date of submission.

All submissions must be tagged, categorised, video uploaded as required and all lines must be done by the relevant SayPro Chief.

Works requiring authorisation must be authorised by all officials under each Committee.

Please note SayPro works with Committees not individuals. There is no work to be submitted by one person. Should it be found that work was submitted the relevant people were not consulted the whole Committee will go for disciplinary and will be treated by the SayPro Disciplinary Procedure and SayPro Dismissal Procedure.

Royal 1 means is the number one Royal Committee

forms SayPro Royal Committee. They shall be decision makers and the ones to handover submissions to Neftaly Malatjie through the Chairperson. Refer to the SayPro Royal Committee Procedure. SayPro Royal Committee will establish sub committees which shall include the Royal Committee Members and SayPro Royal Chiefs. The decision must be taken by a minimum of 6 people.
