4. SayPro Transportation Management Structure

4.1 Transportation Roles and Responsibilities

  1. SayPro Chief Executive Officer (CEO) – Approves major transportation contracts and oversees strategic transportation planning.
  2. SayPro Chief Human Capital Officer (CHCO) – Coordinates transportation needs for Human Capital activities.
  3. SayPro Royal Directors – Oversee transportation logistics within their divisions.
  4. SayPro Officers – Responsible for ensuring transportation resources are used efficiently within the division.
  5. Transportation Coordinator – Manages day-to-day transportation bookings, scheduling, and vendor coordination.
  6. SayPro Human Capital – Request transportation services for business-related needs.

4.2 Types of Transportation

The following categories of transportation are managed under this policy:

  1. Employee Transportation – Transport provided to Human Capital for business-related travel, including meetings, events, and training.
  2. Fleet Transportation – Use of SayPro-owned or leased vehicles for official purposes.
  3. Vendor and Contractor Transportation – Transportation arrangements made for external vendors or contractors engaged by SayPro.
  4. Special Events Transportation – Transportation arrangements for large events or conferences that require transportation for large groups.

5. SayPro Transportation Management Processes

5.1 Requesting Transportation

  1. Request Submission: Human Capital or Officers submit a formal transportation request through the SayPro Transportation Request Form (SayProF499-01).
  2. Approval Process: The request is reviewed by the Transportation Coordinator and Royal Director for approval based on business needs and budget availability.
  3. Transportation Booking: Once approved, transportation services are booked with the most suitable vendors or internal fleet management.
  4. Confirmation & Communication: The Transportation Coordinator sends confirmation details to the Human Capital staff or Officers requesting transportation.

5.2 Managing Fleet Vehicles

  • Fleet Usage: Only approved SayPro staff (e.g., Transportation Coordinator) may use SayPro vehicles.
  • Maintenance: Regular maintenance checks are conducted, and logs are kept to ensure that fleet vehicles are in good working order.
  • Safety: All drivers must adhere to SayPro’s safety regulations when operating SayPro vehicles.

5.3 Vendor Selection

  • Vendor Evaluation: A formal evaluation process is followed to select transportation vendors based on reliability, safety standards, and cost-effectiveness.
  • Vendor Agreements: All vendors must sign formal agreements outlining terms and conditions, insurance requirements, and payment schedules.
  • Contract Renewal: Vendor contracts are reviewed and renewed on an annual basis, based on performance reviews.
