Objective:
This checklist serves as a guide for employees to ensure that all personalization elements, such as logos, addresses, and return addresses, are correctly included in every communication piece before finalizing them for distribution, following the requirements set out in the SayPro Monthly January SCMR-13 and SayPro Monthly Personalization guidelines under the SayPro Marketing Royalty SCMR.


1. Company Logo Inclusion

  • Logo Placement:
    • Ensure the SayPro logo is prominently displayed in the document, adhering to the brand guidelines.
    • The logo should be in the top-left corner (or as specified in the communication template).
    • Verification:
      • Check that the logo’s resolution is high enough for clarity (min. 300 DPI for print materials).
      • Ensure the logo is properly sized according to the design specifications (not stretched or disproportionate).
      • Make sure the logo does not overlap with text or any other content.
  • Logo Color:
    • Verify that the correct color version of the logo is used (e.g., full color or black and white depending on the communication medium).
    • The logo should not be altered or modified in any way, and it should remain consistent with the official brand colors.

2. Address Verification

  • Company Address:
    • Ensure the company’s primary address is correctly listed in the appropriate section of the communication (usually footer or header).
    • The address should include:
      • Street name and number
      • City, State, and Zip Code
      • Country (if applicable)
    • Verification:
      • Double-check the address with the latest corporate records to ensure accuracy.
      • Make sure no abbreviations are used (e.g., “St.” should be written as “Street”).
      • Ensure that the address formatting complies with the brand standards.
  • Contact Information:
    • Verify the inclusion of any necessary contact details (phone number, email address, website) alongside the company address as required for the communication piece.

3. Return Address Verification

  • Return Address Inclusion:
    • Ensure the return address is included on any pieces that require it (such as envelopes or packages).
    • The return address should typically match the company address or the designated return address provided by the SayPro Brand Material Office.
    • Verification:
      • Double-check that the return address includes:
        • Full company name (SayPro)
        • Street address
        • City, State, Zip Code
        • Country (if applicable)
      • Ensure it is placed in the correct location (top-left corner of the envelope or other designated area).
      • Confirm the size and placement of the return address are aligned with brand standards.

4. Personalization for Specific Communications

  • Target Audience Considerations:
    • Ensure that the personalization (name, title, or address) is customized for specific recipients as per the communication type (e.g., customer, partner, internal memo).
    • Verify that all variables (name, job title, department) are correctly merged in the system and appear without errors.
    • Ensure that any personalized promotional content, discounts, or offers are correctly included and relevant.
  • Salutations and Signatures:
    • Double-check that personalized greetings (e.g., “Dear [Name]”) are correctly inserted.
    • Ensure that the signature section includes the appropriate name, title, and contact details for the signer, based on the communication type.

5. Consistency with SayPro Branding Standards

  • Font Style and Size:
    • Ensure all text is consistent with SayPro’s branding guidelines (e.g., preferred font style, size, and color).
    • Verify that no font changes have been made outside of approved templates.
  • Layout and Design:
    • Ensure the document follows the approved template layout.
    • Double-check for correct margins, spacing, and alignment of all elements.
    • Verify that no content is missing or out of place in the template (e.g., missing header/footer).
  • Images and Graphics:
    • Ensure that all images, icons, or other graphical elements used in the communication are aligned with SayPro’s branding.

6. Final Proofing and Approval Process

  • Proofreading:
    • Conduct a thorough proofreading to catch any spelling, grammatical, or typographical errors.

  • Approval:
    • Once the personalization elements have been verified and the document is complete, submit the communication piece for approval by the SayPro Brand Material Office.
    • Obtain final sign-off from the SayPro Marketing Royalty SCMR before finalizing the document for distribution.

7. Digital and Physical Communication

  • Digital Formats:
    • For digital communications (emails, PDFs, etc.), verify that all personalization elements are correctly embedded in the electronic document.
    • Ensure compatibility across different email clients and devices (e.g., mobile view).
  • Physical Formats:
    • For printed materials, confirm that the quality of the print matches the required standards (e.g., sharpness of text, clarity of logos).
    • Double-check that physical address labels or return address stickers are applied correctly.

8. Record Keeping

  • Archiving:
    • Ensure that a copy of the finalized communication is archived in the designated file storage for future reference and compliance purposes.
    • Document any deviations from standard personalization processes and obtain approval if necessary.
