SayPro Week 2: Prepress Preparation and File Checks

Objective:

Ensure all client files are print-ready by conducting thorough prepress preparation and file verification before proceeding to high-resolution printing.

Tasks to Be Done for the Period:

1. File Review & Prepress Preparation

  • Verify that all files submitted by clients meet the required format and specifications for professional printing.
  • Ensure that file resolution is set to at least 300 DPI for high-quality output.
  • Check for color accuracy, ensuring files are in CMYK mode rather than RGB (which is meant for screens).
  • Confirm that all fonts are embedded or converted to outlines to prevent missing text issues.
  • Ensure bleed and margins are correctly set to avoid cutting errors. Standard bleed is 3mm on all sides.
  • Validate the correct file format (PDF, AI, PSD, or EPS preferred) to ensure seamless printing.

2. Quality Assurance & Proofing

  • Print digital proofs to check for inconsistencies, misalignment, or errors before final printing.
  • Review layout, spacing, and alignment of all elements to maintain a professional look.
  • Conduct spell-checks and grammar verification to avoid costly mistakes.
  • Confirm that all images are linked and not missing, especially for Adobe Illustrator and InDesign files.

3. File Optimization for High-Resolution Printing

  • Adjust contrast and sharpness to ensure clarity in print.
  • Convert spot colors to process CMYK if necessary.
  • Ensure transparent elements and layers are flattened where needed to avoid unexpected print errors.
  • Apply trapping settings where applicable to compensate for printing misalignments.

4. Final Approval & Client Confirmation

  • Send final proofs to clients for approval before printing.
  • Obtain written confirmation from the client to proceed.
  • Maintain a record of client approvals to avoid disputes.

5. Printing & Finishing Preparation

  • Organize files for batch printing based on priority and deadlines.
  • Set up necessary finishing options such as lamination, embossing, or die-cutting as per client requests.
  • Coordinate with the production team to ensure the print process runs smoothly.
