Assigned Role: Strategic Partnership Coordinator
Key Tasks:

  • Review previous week’s partnership activity and feedback.
  • Set weekly targets for data collection and outreach.
  • Prioritize partners needing urgent engagement or data updates.
  • Update internal tracking tools or dashboards.

🗓 Tuesday – Internal Data Collection

Assigned Role: Partnership Data Analyst
Key Tasks:

  • Collect partnership data from program managers and team leads (project milestones, outputs, KPIs).
  • Update partnership profiles and databases.
  • Verify and standardize data entries.
  • Identify missing or inconsistent information.

🗓 Wednesday – External Partner Outreach

Assigned Role: Partner Engagement Officer
Key Tasks:

  • Contact partners for updates (via email, phone, virtual meetings).
  • Collect feedback, progress updates, and new opportunities.
  • Schedule check-ins or joint planning meetings.
  • Document all correspondence and partner responses.

🗓 Thursday – Quality Review & Insights

Assigned Role: Partnership Monitoring & Evaluation Lead
Key Tasks:

  • Review accuracy and completeness of collected data.
  • Analyze performance metrics and generate weekly insights.
  • Identify trends, gaps, and red flags.
  • Prepare a summary report for internal briefing.

🗓 Friday – Communication & Reporting

Assigned Role: Communications & Reporting Officer
Key Tasks:

  • Prepare and send a weekly partnership status update to leadership.
  • Share success stories, progress highlights, and upcoming engagement plans.
  • Update SayPro website or platform with approved partner data and progress.
  • Archive all weekly reports in the official SayPro knowledge repository.

Optional Weekly Rotation Model

To build cross-team capacity:

  • Rotate roles monthly among qualified team members.
  • Assign assistants or “backups” for continuity during leave or travel.
  • Include interns or junior staff in Thursday/Friday activities for learning exposure
