In alignment with its commitment to continuous improvement, evidence-based planning, and institutional learning, SayPro, through its Strategic Planning Office under Operations Royalty, has scheduled the submission of feedback summaries and lessons learned from all departments, programmes, and stakeholder engagements by 31 May 2025.
This process is a critical element of the April SCOR-1 cycle and will directly inform the planning, reporting, and strategic alignment for the upcoming quarter.
1. Purpose of the Feedback and Lessons Learned Submission
This initiative is intended to:
- Document key insights from implementation, communication, and stakeholder interactions
- Identify successes, innovations, and areas for replication
- Capture challenges and root causes of performance gaps
- Provide actionable recommendations for improved performance and decision-making
- Ensure institutional knowledge is preserved and shared across teams
2. Scope of Submission
Each department and project team is expected to submit a concise report covering:
a. Feedback Summary
- Internal team reflections from meetings, Q&A sessions, and coordination workshops
- External feedback from stakeholders, partners, beneficiaries, and funders
- Issues raised via the SayPro Communications Dashboard or engagement forums
b. Lessons Learned
- What worked well and contributed to results
- What didn’t work, and why
- Adjustments made or recommended for the next cycle
- Skills or systems that enhanced or hindered performance
- Suggested improvements to processes, platforms, or coordination
3. Submission Process
- Deadline: Friday, 31 May 2025, 17:00 SAST
- Platform: SayPro Performance Portal → “May Submissions > Lessons Learned” section
- Format: Use the provided Lessons Learned Template (available for download from the portal)
- Review: Submissions will be reviewed by the Strategic Planning and M&E teams for synthesis and presentation to senior management
4. Output and Usage
- All departmental submissions will be consolidated into a SayPro Q2 Institutional Learning Report
- Key findings will be presented at the June Quarterly Performance Review Workshop
- Select case studies and learning points will be shared via the SayPro Internal News Portal to foster cross-team knowledge exchange
- Lessons learned will directly inform updates to SCOR-1 plans, tools, and communication strategies
