Objective:
The SayPro Brand Material Office is responsible for managing the execution of SayPro Monthly Printing activities. The role focuses on ensuring that all print projects are delivered efficiently, cost-effectively, and uphold SayPro’s high standards of quality. The individual in this position will oversee the timely delivery of printed materials and manage resources, workflows, and budgets to ensure the successful completion of each print project.
Key Responsibilities:
1. Project Management:
- a. Oversee Project Timelines:
- Manage and monitor the timelines for all print projects to ensure timely delivery. This includes setting clear deadlines for each phase of the project, from design to printing to distribution.
- Proactively identify potential delays or bottlenecks and develop solutions to ensure projects remain on track.
- Communicate timelines clearly with all stakeholders (designers, printers, distribution teams, and the SayPro Marketing team) to ensure smooth execution.
- b. Ensure Cost-Effectiveness:
- Monitor the budget for each print project, ensuring that costs are kept within allocated limits. This includes managing costs related to design, printing, materials, and delivery.
- Source competitive printing services and negotiate rates to keep the projects within budget without compromising quality.
- Review quotes from vendors, ensuring that all pricing is competitive and aligned with project requirements.
- c. Coordinate with Internal Teams:
- Work closely with the SayPro Marketing team, ensuring they are kept informed of progress and changes during the printing process.
- Coordinate with the Design team to ensure that materials are print-ready according to SayPro’s brand standards.
- Collaborate with the Distribution team to ensure the timely and accurate delivery of printed materials to the appropriate departments, partners, and events.
2. Quality Control:
- a. Ensure High-Quality Printing:
- Monitor the printing process to ensure that all materials meet SayPro’s high standards of quality, from design to final print production.
- Review print proofs and provide approval or feedback to printers to ensure consistency with the approved designs.
- Conduct post-production quality checks on printed materials, ensuring they meet SayPro’s specifications (e.g., correct paper type, vibrant colors, clear images).
- b. Problem-Solving:
- Act as the first point of contact for any printing-related issues or discrepancies. Work with vendors and internal teams to resolve issues promptly, such as quality concerns, print defects, or delays.
- Ensure that all printed materials meet SayPro’s standards for consistency, accuracy, and professional appearance.
3. Vendor Management:
- a. Source and Evaluate Vendors:
- Manage relationships with printing vendors and third-party suppliers to ensure that quality standards are met while adhering to budget and timelines.
- Evaluate new printing vendors based on pricing, capabilities, and their ability to meet SayPro’s quality expectations.
- Maintain a list of trusted vendors and ensure they are aware of SayPro’s requirements for quality and delivery times.
- b. Negotiate and Manage Contracts:
- Negotiate terms and agreements with vendors, ensuring the most cost-effective solutions while maintaining high-quality standards.
- Review and manage contracts with vendors, ensuring all deliverables are met within scope, budget, and timeline.
4. Logistics and Distribution Coordination:
- a. Oversee Distribution Planning:
- Plan and coordinate the distribution of printed materials across different departments, partners, and events.
- Work with the logistics team to ensure that all printed materials are delivered on time and in the proper quantities.
- Ensure that all materials are securely packed and protected for transport to prevent damage.
- b. Track Delivery:
- Track all print orders and deliveries, ensuring that recipients receive the materials in a timely manner.
- Maintain a system for tracking the delivery process, from the print stage through to final delivery and receipt confirmation.
5. Reporting and Documentation:
- a. Maintain Project Documentation:
- Keep detailed records of each print project, including design approvals, printing specifications, vendor communications, and final delivery confirmations.
- Create reports to summarize the status of ongoing projects, budgets, timelines, and quality control outcomes.
- Provide regular updates to the SayPro Marketing team on the progress of monthly printing activities and any potential issues.
- b. Post-Project Evaluation:
- After each printing project, conduct a debrief with the involved teams to review the process and identify areas for improvement.
- Compile feedback and use it to improve future project planning, execution, and vendor relationships.
6. Additional Responsibilities:
- a. Process Improvement:
- Continuously seek opportunities to improve the efficiency and cost-effectiveness of the printing and distribution process.
- Propose new workflows, technologies, or tools that could streamline the printing process or enhance the quality of printed materials.
- b. Maintain Brand Consistency:
- Ensure all printed materials align with SayPro’s brand guidelines, including logo usage, typography, colors, and imagery.
- Work closely with the design and marketing teams to ensure that the brand’s visual identity is maintained across all print materials.
Required Qualifications:
- Education:
Bachelor’s degree in Marketing, Graphic Design, Business Administration, or a related field. - Experience:
- At least 3 years of experience in print project management, production coordination, or a similar role.
- Proven experience managing print budgets, timelines, and vendor relationships.
- Skills:
- Strong project management skills, with the ability to manage multiple tasks and deadlines.
- Excellent communication and negotiation skills to work with internal teams, external vendors, and partners.
- Detail-oriented with a strong eye for quality control and brand consistency.
- Ability to troubleshoot issues quickly and implement solutions effectively.
- Proficiency in using project management tools and software (e.g., Microsoft Office, Asana, Trello).
