Task: Share the Report and Resources on SayPro’s Internal Platform for Ongoing Access


Objective

To ensure long-term accessibility and usability of the new Monitoring and Evaluation (M&E) practices, all related training materials, reports, and tools will be uploaded to SayPro’s internal platform. This supports continuous learning, reference, and onboarding of new staff.


Steps for Sharing on Internal Platform

1. Organize Materials for Upload

All materials will be compiled into structured folders for intuitive navigation:

2. Platform Upload Instructions

  • Platform: SayPro Intranet or Document Management System (e.g., SharePoint, Google Drive, or internal LMS)
  • Upload Rights: Granted to M&E Team Leads and IT Admin
  • File Naming Standard: [Category][Title][Date].ext (e.g., Training_UserGuideDigitalData_2025-01.pdf)
  • Tags/Keywords: “M&E Training”, “Quality Assurance”, “Reporting Tools”, “SayPro Resources”

3. Notification and Access Sharing

  • Send internal memo or email to all staff with:
    • Direct access link
    • Summary of contents
    • Instructions for navigating folders
  • Post update on internal bulletin board or Teams channel

4. Maintenance Plan

  • Quarterly updates to add new resources or revise existing ones
  • Assign a Knowledge Management Focal Point to monitor usage and update outdated content
  • Include in onboarding package for all new M&E hires
