SayPro Step 1: Prepare Interview Materials
Once interviews are completed, SayPro team members transcribe audio recordings accurately, ensuring the integrity of beneficiaries’ voices is preserved. Summaries highlighting key findings, trends, and observations are crafted alongside carefully selected impactful quotes that represent stakeholder perspectives.
SayPro Step 2: Standardize Data Formats
Before uploading, all transcripts, summaries, and quotes are formatted according to SayPro’s data entry guidelines. This includes consistent labeling of participant identifiers (while maintaining confidentiality), date stamps, and metadata such as interview location and stakeholder category (e.g., beneficiary, community leader, program staff).

Finalize Your DocumentsEnsure all action plans are reviewed, approved, and saved in PDF or DOCX format.
Include version numbers and approval dates.
Access the SayPro Action Repository
Go to the SayPro Staff Portal.
Log in with your employee credentials.
Navigate to the Action Repository or Knowledge Base section.
Upload the Document
Click “Upload New Document” or a similar button.
Fill in required metadata:
Title: e.g., “Client Onboarding Action Plan – Final v1.0”
Category: Process Improvement / Department Name
Owner: Your name or department
Tags: Onboarding, Support, Q3 2025, SayPro Process Plan
Attach your file and submit.
Confirm and Notify
After uploading, double-check the document appears in the repository.
Notify your manager or team via internal comms (Slack, Teams, or email).
Set Review Reminder
Schedule a 30/60/90-day review depending on the plan cycle.
